Position: Operations Administrator

Department: Administration

Location (s): Manhattan, with frequent travel to Bronx and Queens

Reports To: Director of Finance

Classification: Part Time, Non-Exempt

The Violence Intervention Program (VIP) was established as a grassroots response to intimate partner violence and sexual assault in Latinx communities. VIP has always centered survivors in its leadership and has worked to create a community of staff that reflects the rich national, ethnic and racial diversity of the communities it serves. VIP runs three non-residential social service programs, two residential shelter and housing programs, and economic justice program and a robust communications and outreach department.

The Operations Administrator is responsible for the physical and technical operations of the organization, ensuring maximum efficiency and functionality of all equipment, office systems, and administrative and technological needs. The Operations Administrator will streamline clerical/administrative procedures, maintain inventory/ordering practices, and will have primary responsibility for liaising with external vendors providing administrative services to VIP. The ideal candidate exercises independent judgment, strong decision making ability, initiative, and is an excellent communicator and team player.

Essential Functions:

  • Maintain office efficiency by designing and implementing office systems, layouts, and equipment inventory and procurement policy;
  • Troubleshooting communications and information technology issues and serving as primary liaison with external vendors providing communications and IT services to VIP;
  • Organize and implement document filing, archiving, storage and removal system, in partnership with external vendor;
  • Monitor & maintain supplies inventory, avoid insufficient or surplus of supplies and replenishing stock;
  • Manage expenditure(s), budget(s), analyze variances, and initiate corrective actions;
  • Support Director of Finance and Executive Director to manage office lease renewals and execute new leases, as needed;
  • Keep management informed by reviewing and analyzing special report(s); summarizing information; identifying trends;
  • Assist with pick-up and delivery of donations;
  • Attend and participate in regularly scheduled VIP staff and program meetings;
  • Participate in relevant professional development and remain abreast of professional and technological trends to enhance work performance;
  • Support and comply with the values and policies of the Violence Intervention Program;
  • Perform administrative and other tasks, as required.

Requirements:

  • B.A. or equivalent experience in relevant field;
  • Minimum of three years’ experience in operations and/or administrative services, preferably in the non-profit sector;
  • A valid NYS Driver’s License a plus;
  • Must have the ability to establish and maintain effective and cooperative working relationships;
  • Must be excellent communicator, keeping colleagues fully informed of administrative issues and plans for troubleshooting;
  • Must be knowledgeable in working with diverse communities, particularly Latina/o/x, people of color, and low income populations;
  • Must be well organized, assertive, able to work independently and collaboratively, while maintaining a flexible schedule;
  • Ability to lift minimum of 30 lbs. and travel via public transportation (bus, train, etc.);
  • Must have the ability to operate office equipment such as computers, copy machine, fax machine, phone systems, etc. with strong internet and software skills; incl. Microsoft Office and client database;
  • Flexible schedule to respond to VIP staff needs, including on-call response on unscheduled days, nights and weekends;
  • Must be able to exercise good judgment and sensitivity at all times;
  • Must ensure agency, program and client confidentiality at all times;
  • Great sense of humor a huge plus.

The Operations Administrator is expected to work approximately 14-28 hours per week, as needed, and is on-call for emergencies. Occasional evening, night and weekend duties are expected.
