Program Assistant - Counseling Center, Brooklyn

Summary:

The SHCC Program Assistant may be the first person to greet our clients, either in person or by telephone. Therefore, the Program Assistant is vital in ensuring that our clients’ first impression of the clinic is a positive one. The Program Assistant also has responsibilities with regard to the physical environment and smooth operation of the clinic such as the appearance of the waiting area and ordering office supplies.

 

Responsibilities:

  •  Learns and integrates a trauma-informed, client-centered approach, using an anti-oppressive lens, into work with clients.
  • Greets clients (in person or by phone) in a warm, professional, and trauma-informed way
  • Assists Spanish-speaking callers services to connect with SHCC intake, the Helpline, or other resources as necessary
  • Monitors the safety of people and conditions in the waiting area
  • Maintains an orderly inventory of office and therapy supplies in our supply cabinets and follows Safe Horizon procedures for ordering additional supplies as necessary
  • Requesting and collecting co-payments or self-payments, providing clients receipts, logging in all payments at front desk
  • Providing, documenting and reconciling Metrocard distribution under the supervision of the SHCC Operations Manager
  • Maintaining a clean and welcoming waiting area with magazines, brochures, children’s videos, artwork, furniture, attractive/informative bulletin boards, etc.
  • Maintains the clinic staff mailboxes and staff storage space
  • Maintains staff schedules, extension lists, and emergency “phone tree”
  • Manages all facilities and IT repair requests
  • Assists with the “onboarding” of new therapists
  • Is a Foothold “superuser” and teaches new therapists to access and use Foothold
  • Cross-trains in the activities of the other Receptionist / Clerks for coverage purposes as necessary
  • Performing other related duties as assigned

 

Qualifications:

  •  High School Diploma or GED
  • Fluency in Spanish required
  • Ability to work independently and collaboratively in a rapidly changing environment
  • Ability to work with distractions at the front desk
  • Excellent written, oral, and interpersonal communication skills
  • Proficiency with Microsoft Excel, Word, and Outlook
