Under the direction of the two program directors, the Research Program Assistant supports the operations and growth of RFF’s two research programs (Land, Water, and Nature; Energy & Climate) with a focus on program coordination, internal communication, events support, and staff support. This position will also work closely with RFF’s Research Support Manager on research project tracking and related administrative tasks.


Principal Duties and Responsibilities

Program Administration (60%)


  • Coordinates RFF’s annual hiring process for programs’ Fellows and summer interns, (including developing spreadsheets of applicants, sharing resumes, scheduling interviews and fly-outs, and coordinating on-site visits) and working with Human Resources to ensure an efficient and productive process.
  • Manages the production of appointment letters and consulting agreements for visiting fellows, university fellows, and other non-employee program researchers.
  • Helps to plan and coordinate internal Program staff meetings, including monthly program lunches. Supports Program VPs with meeting management, including scheduling, travel logistics, and taking notes as needed.
  • Ensures accurate tracking of project, initiative, and program achievements in RFF’s Enterprise Resources Planning and project management system, Microsoft Dynamics 365.
  • Generates regular reports on program administration and project deliverables.
  • Works closely with members of the Research Support team on other administrative tasks as needed, including supporting time entries in Dynamics 365 and processing financial requests.


Event Support (35%)

  • Works closely with Program Directors, Event Coordinator, and researchers to support RFF events and webinars (including building invitation lists, managing invitation process and RSVPs, communicating with participants and panelists, and providing day-of event logistics).
  • Works with Fellows to organize RFF’s internal Academic Seminar series (~12 per year).


Other (5%)

  • Occasionally provides administrative support for President’s Office.
  • Assists researchers and Program Directors with grant reporting, on an as-needed basis.
  • Other duties as assigned.



EDUCATION:

  • BA degree or equivalent experience.


EXPERIENCE:

  • Must have demonstrated ability to independently initiate and manage tasks, with a high degree of detail and process orientation.
  • Must have demonstrated ability to manage competing priorities.
  • Must have strong writing skills.
  • Must have excellent interpersonal skills and enjoy working with a variety of teams across departments.
  • Must be familiar with Microsoft Office and Outlook.
  • Must have experience or be willing to learn project management software and tools.
