Play Mountain Place is a non-profit 501(c)(3) school, founded in 1949. We provide a self-directed learning environment for children from preschool to elementary age. Essential Job Duties & Responsibilities

The Administrator will be a part of the Play Mountain Place team, directly supporting the School Director and collaborating with the Board of Trustees and staff. The Administrator is responsible for assisting the Director in maintaining seamless operations of the school, which includes (but is not limited to) the following: 


  • Supporting the Director and Administrative Team in day-to-day operations
  • Undertaking enrollment activities, e.g. co-hosting tours, admissions processing, enrollment schedule management
  • Maintaining records, transcripts and staff files; and managing archives
  • Planning, supporting and attending staff meetings, events and workshops
  • Supporting fundraising events
  • Maintaining legal regulation compliance and licensing: e.g. legal reporting, criminal background clearances, managing inspections, handling insurance claims
  • Maintaining/upgrading computers, equipment and facilities
  • Managing buildings and grounds maintenance, including leading work days
  • Scheduling of the annual school calendar and essential weekly meetings
  • Supporting the Board of Trustees, e.g. maintaining Board records, planning and attending Board meetings/retreats, taking minutes
  • Financial activities, including assisting Director with the preparing of annual budget and reviewing quarterly reports and assisting Bookkeeper with A/P, A/R, management of family accounts, and payroll preparation 
  • Communicating with staff and supporting staff development
  • Maintaining/revising school policies, procedures and operations manuals
  • Preparing reports as needed on programs and projects
  • Assist Director with coordinating and supervising the responsibilities of Office Associate, Groundskeeper, and parent volunteers
  • Identifying challenges to the seamless operation of the organization and proposing prioritized solutions to support the Director’s and organization’s goals

  • Computer literacy in word processing, spreadsheets and data base programs
  • Familiarity with accounting software
  • Willingness to learn new skills as needed
  • Occasional evening and weekend hours will be required to support meetings/events
  • Participation in Play Mountain Place Communications Skills Workshop will be required upon employment


Qualifications & Experience

  • Minimum 3 years’ experience in a position with a similar level of responsibility, preferably with a non-profit or a school
  • A Bachelor’s Degree or significant commensurate experience
  • Must meet State standards for school and day care employees
  • Spanish language is a plus

  • This is a full-time, year-round, non-exempt position
