AoH is in the process of overhauling and improving its Student Information System to become a more data-driven, and efficient charter school for adults. Currently, we are hiring two positions – a Data Support Specialist (DSS), and a School Information Systems Specialist (SISS) – to be part of the Accountability team and help design and implement this process and systems. A key component under the new information strategy at AoH is to decentralize information and reporting functions to key stakeholders for more rapid and relevant use of data and information. We are looking for individuals who want to join the team at this time of positive change, and want to help carry out continuous improvements.

Position Overview:

The Data Support Specialist’s primary role is to support Academy of Hope academic and program staff to use information systems to meet their data and information needs. The specialist helps staff with data collection, organization, aggregation and use of reports, visualizations and dashboards.  The DSS works as a positive change agent by supporting the SISS roll-out new systems via specific training and coaching tasks. The DSS also actively participates at certain times of a school year in the management of key datasets necessary to meet the organization’s data sharing requirements with OSSE and DCPCSB. The ultimate objective is to be an effective team member to empower staff to use data for continuous improvement of program and organizational performance to improve student outcomes.  


Data/Staff Support Role

·        The specialist works closely with administrative, instructional, workforce development, and support staff to become more effective and efficient accessing and using data to meet their day-to-day, short-term and annual goals (e.g., support recruitment team during admissions and registration; support instruction team during scheduling, assessment, and advising periods; support administration during residency verification and data validation for OSSE and DCPCSB).

  • The DSS assists the SISS and Accountability Director with data quality assurance reviews and validation of key information and datasets (such as registration/enrollment rosters, assessments, attendance, student progress, graduation metrics, ex-participants’ impact follow-ups, etc.)
  • Support academic and program staff using and configuring legacy systems until new central system is in place.
  • Other duties as assigned.

Information Technology Adoption Support Role

·        The DSS participates in data governance meetings and tasks to support and promote alignment of systems and information needs by various stakeholders; and plan upcoming training/supports necessary according to new solutions/changes identified by data governance team.

·        The DSS supports the SISS by training/coaching staff on the use of AoH’s student information system(s), external educational/assessment systems (e.g., CASAS TopsPro, or GED Manager) via creation of training materials, running training sessions, and 1-1 coaching.

·        The DSS will collaboratively participate in the design of dashboards and assist various stakeholders to make the best use of such real-time information insights and performance reports (i.e. assist staff in accessing and understanding data and information reports).

Level of Language Proficiency


  • Bachelor’s Degree, or two to four years related experience and/or training preferred; or equivalent combination of education and experience.
  • Experience working in knowledge transfer settings, in particular assisting others with information technology adoption and understanding.

·        Microsoft Excel, with ability to create dashboards, and strong ability to use/learn complex formulae and run macros

·        Experience in SQL and/or relational databases

·        Experience with data visualization tools and techniques (such as Tableau, SAP Webi)

·        Understanding of statistical analysis and experience with related software packages preferred


·        Ability in developing training materials for adults

·        Willingness to repeat content presentation and in various formats

·        Ability to develop reports using queries

·        Understanding of the importance of maintaining confidentiality

·        Can establish and maintain effective working relationships

·        Ability to exercise good, independent judgment

·        Effectively work under pressure and meet deadlines

·        Can organize and perform work independently

·        Ability to maintain computerized records and systems

·        Comfortable working with multiple data systems

·        Successfully working with cross-functional teams towards shared results

·        Strong Computer skills (Microsoft Word, Excel, and Power Point), including internet navigation proficiency

·        Superior skills in keyboarding and data entry
