Description

The Managing Director functions independently as a self-starter, demonstrates great enthusiasm and drive to succeed, and excels within a small team. A successful Managing Director will thrive by developing efficient organizational systems, engaging in mutual collaboration with our professional team through supervision & thought partnership, and working closely with Pasadena Heritage's ED to utilize her time most effectively. This professional must represent Pasadena Heritage to the public, the board, and with volunteers and stakeholders. A strong candidate will display high emotional intelligence, excellent communication skills, mindful conflict resolution, and a strengths-based learning mindset. The Managing Director is expected to attend all community programs and events to foster and engage volunteers and participants and to work closely with the professional team on program set-up or break-down as needed. 

Managing Director Primary Responsibilities

- Manage, advise, encourage, and guide the team responsible for day-to-day operations and oversee mission fulfillment outputs

- Work with and support the ED and accountant in the annual budget and ensure the day-to-day financial health of the organization

- Onboard and train new hires and provide direct supervision, training, and development for staff

- Administer and steward grants related to mission fulfillment, including reporting, supporting applications, and renewals as needed 

- Work with and support the ED and accountant in the annual budget and ensure the day-to-day financial health of the organization

- Support a learning-centered culture that values feedback and the ongoing improvement of programs and internal systems

- Establish and improve existing administrative and operations policies and procedures for all functions and the organization's day-to-day operation

- Manage information technology

-Oversee HR functions, including maintaining HR files, ensuring compliance with regulations, and supervising timely and accurate payroll processing

- Support bookkeeping and oversee the use of financial data in long-term planning, strategic decision-making, and reporting 

- Assist with communications by working closely with consulting professionals and ED to strengthen marketing and communications strategies.

- Support stewardship of new and prospective donors by collaborating with ED for on-site visits, storytelling, communications, and other programmatic touchpoints that inspire individuals and foundations to support Pasadena Heritage's work.

- Steward, nurture, and grow relationships with professional teams and partner organizations to strategically enhance and amplify the organization's reach and mission fulfillment.

- Serve on community committees and represent Pasadena Heritage as needed at private/public functions

- Along with the ED and senior professional staff, provide staff support and guidance to the Board of Directors and serve as staff liaison to relevant subcommittees

- Work with programmatic staff to optimize the use of Pasadena Heritage's office and event spaces.

- Other duties as assigned by the ED

Qualifications Required:

- Familiarity with best practices in nonprofit operations, HR, and finance

- Authentic and deep passion for Pasadena Heritage's mission and vision

- Ability to translate strategy into plans and manage a team towards results

- Strong task management skills, including prioritizing and delegating as needed

- Outstanding verbal and written communication skills, including communicating and inspiring others around Pasadena Heritage's philosophy, values, and practices

- Upholds values of joy, inclusivity, and resilience

- Ability to work a hybrid remote/on-site schedule with regular evening and weekend commitments

- Ability to lift at least 30 pounds, sit in front of and use a computer for multiple hours daily, and stand for 3 hours daily as needed
