The Community Education Coordinator is an enthusiastic, self-starting team player who reports to and provides administrative support to the Director of Community Education. The Coordinator acts as the school’s initial point of contact for on-site students, teachers, and visitors. As part of the Community Education team, the Coordinator collaborates with the Director and the Manager of Community Education to play a key role in the daily operations of the schoolhouse in the areas of class registration, operations, events, and data collection. The Coordinator is responsible for procuring materials for classes, setting up classroom spaces, and event execution.

Core Responsibilities

Visitor Reception

  • Serve as a positive ambassador for the Eliot School and uphold the organization’s mission, vision, values, and strategic direction.
  • Represent and promote the School to prospective students and the general public at events (JP Open Studios, fundraising events, salons, etc.).
  • Greet all visitors to the Schoolhouse, and provide information as needed.

Registration

  • Process course registrations, changes, and withdrawals in person, online, and by phone.
  • Manage payments, refunds, discounts, credits, scholarships, and gift certificates.
  • Send class-related communications, including reminders, waitlists, class rosters, and class evaluations.
  • Keep administrative systems accurate, up-to-date, and accessible, including database, classroom calendars, and website class listings.
  • Document classes, track changes, and maintain up-to-date class information on our website.

Schoolhouse Operations

  • Provide support to instructors, as needed.
  • Oversee the purchase, preparation, maintenance, and storage of program materials as directed by the Manager / Director of Community Education.
  • Participate in the production of Eliot School events and programs, including communication with participants and staff, acquisition of supplies, physical event set-up, and break-down.
  • Maintain all the Schoolhouse calendars and communicate around any special events/circumstances.
  • Manage the organization’s primary email mailbox ( info@eliotschool.org ) and voicemail box.
  • Provide accurate, timely records to the internal bookkeeper of petty cash expenses and receipts.
  • Fulfill student, classroom, and/or event setup needs. This includes helping students move projects, setting up tables, and moving materials.

Data Collection

  • Ensure surveys and feedback forms are distributed throughout our classes via email and in person during events.
  • Compile survey and feedback data, enter them into the database, and run reports regularly.
  • Inform other departments of relevant data.

Other Responsibilities

  • Participate in team and all-staff meetings and contribute to overall positive organizational culture.
  • Other duties as assigned.

Physical Requirements

  • Must be able to lift up to 40 pounds and carry up/down stairs regularly (at least 1-3 times a month).
  • Prolonged periods of standing, walking, and ability to maneuver over uneven terrain during events.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to climb stairs.

Experience

  • Demonstrated experience with customer service and ability to work and communicate well with stakeholders from diverse backgrounds.
  • 1-2 years of experience with any of the following tools and systems is strongly preferred:
  • Content management systems (e.g. WordPress, Drupal, etc.)
  • CRM databases (e.g. Salesforce)
  • Point of sale systems (e.g. Stripe)
  • Bilingual fluency a plus: Spanish, Kreyol, etc.

  • Ability to work independently, collaboratively, and reliably.

  • Excellent attention to detail, organizational skills, and resourcefulness.
  • Comfort with technology, eagerness to learn, and ability to adapt to new software and systems.
  • Confidentiality and discretion.
