About FVAP: Family Violence Appellate Project is the only organization in California dedicated to empowering survivors of domestic violence with a second chance at justice by appealing court decisions on their behalf, for free. We are a 6-year old, statewide nonprofit organization whose mission is to ensure the safety and well-being of California survivors and their children. Our attorneys appeal and overturn trial court decisions that put survivors or their children at risk of ongoing abuse. Skills & Abilities: The ideal candidate is an experienced manager of nonprofit finances capable of managing FVAP’s financial practices to ensure meticulous compliance with grants requirements and accuracy of financial reports. You are a visionary leader with a knack for identifying the needs of the organization and finding and implementing solutions. You are a self-starter who recognizes where processes can be improved and takes the initiative to improve them. You have a strong drive to take on new challenges and feel great satisfaction in setting and accomplishing goals. You can manage multiple short-term and long-term deadlines at once. Essential Duties and Responsibilities: Duties include the following (other duties may be assigned):
§ Financial Management
o Play a leading role in ensuring solid financial practices, internal controls, and compliance with any funder requirements for a $1.1 million organization.
o Analyze strength of the organization’s financial position and report to Board of Directors annually;
o Enter all bookkeeping entries (income and expenses) into Quickbooks;
o Lead monthly process of preparing the books for outside accountant to perform account reconciliations and generate monthly reports;
o Lead coordination with the outside auditor and tax preparer annually;
o Set monthly and annual expenditure goals for restricted funding sources and ensure monthly financial allocations are in line with goals;
o Manage monthly financial allocations of personnel time to restricted funding sources, including reviewing staff time entries for correct coding and managing personnel expense allocations to comply with grant requirements;
o Perform monthly financial allocations of direct expenses to comply with grant requirements;
o Compile and submit monthly and quarterly financial reports to funders; and
o Train the Board of Directors biannually on nonprofit finance.
§ Grants Management
o Lead the successful submission of timely, accurate programmatic grant reports to government funders (quarterly, twice/year, and annually), including tracking all deadlines, coordinating staff’s timely contributions to the reports, and drafting content;
o Take the leading role in understanding and ensuring compliance with all programmatic and financial requirements of multiple government grants (including federal handbooks governing Office of Violence Against Women grants, California Office of Emergency Services’s Subrecipient Handbook and other requirements, State Bar of California Legal Services Trust Fund requirements, and others);
o Compile program data from FVAP’s database to report requested metrics to funders;
o Lead FVAP’s communications with government funders; and
o Ensure ongoing compliance with multiple grant requirements, including submitting training and other materials in advance to government funders and developing and managing effective systems to track compliance.
§ Operations & Administration
o Lead and manage FVAP’s operations and administration, including taking initiative to identify needs of the organization, researching and finding the best solutions, and implementing systems and processes. Examples would include IT support, retirement plan, payroll service, insurance coverage, etc.
o Manage insurance plan renewals; and
o Manage regulatory filings with at least 2 states.
§ Comply with all agency policies and procedures.
Physical and Environmental Conditions
Performance of duties and tasks uses standard office equipment, including telephone equipment and computers. Work is performed inside with exposure to heating and air-conditioning. May require travel to special events and meetings.
· Solid understanding of nonprofit financial management;
· Superb numerical analysis skills, including budgets and finances;
· Strong ability to input, compile, and analyze numerical data without error;
· Superb reading comprehension skills enabling you to understand and comply with dense grants requirements and government regulations;
· Strong verbal and written communication skills to communicate with funders on behalf of FVAP;
· Ability to manage large, complex projects where multiple people contribute components to the end product, and complete the projects on time and without error;
· Ability to multitask and prioritize multiple projects effectively at a given time;
· Excellent organizational skills, attention to detail, and proofreading skills;
· Ability to adapt to and work in the fast-paced environment of a start-up nonprofit;
· Willingness to pitch in and help out as needed;
· Strong interpersonal skills in order to collaborate closely with others;
· Proficiency with Quickbooks and all standard office computer programs; and
· Passion for FVAP’s mission and a commitment to working on behalf of survivors of domestic violence and their children.
· Bachelor’s degree or advanced coursework in accounting or finance;
· 1-3 years of experience working in nonprofit finance;
· 1-3 years of experience administering government grants for a nonprofit organization, including federal Office on Violence Against Women grants, California Office of Emergency Services grants, State Bar of California Legal Services Trust Fund grants, or other similar grants;
· Experience managing multi-person project teams toward successful, timely completion of projects;
· Experience allocating personnel and direct expenditures to different restricted funding sources in compliance with grant requirements;
· Knowledge of, or experience in, legal aid or other legal environments; and
· Understanding of the domestic violence field.
