Mission Asset Fund (MAF) is looking for an Office Coordinator to join our Operations Team, help us ensure office operations run smoothly at all times, and support our thriving company culture. Your primary responsibility will be to support the day-to-day office tasks and maintaining vendor relationships in close collaboration with the COO and Operations and Culture Manager.

This is the perfect role for an individual entering the workforce or looking to grow their experience in operations, but also an opportunity to support our communities and be a part of a culture that is committed to social good. We expect this individual to have a strong work ethic, a 'no-job-is-too-small' attitude, and a desire to become our office’s personal Marie Kondo.

Reports to: Operations and Culture Manager

Key Responsibilities

Office and Environment (90%)

  • Foster and maintain a clean, organized, and comfortable office including conference rooms, kitchen, and gathering areas.
  • Coordinate office operations and procedures including restocking, inventory, and cleanliness.
  • Provides 1st level support support to staff with questions/issues in utilizing core applications, equipment, wifi, as well as researching solutions. 
  • Research office supplies and ergonomic equipment for purchase.
  • Coordinate emergency drills and maintaining emergency supplies.
  • Assist in vendor relationship management.
  • Keep inventory and managing computers/hardware e.g. updating computer software, resolving printer issues, assisting with software downloads.
  • Organize office-wide fun and culture events including birthday celebrations, happy hours, and staff retreats.
  • Support Operations and Culture Manager with administrative and operations tasks.
  • Attend to general issues and fixing simple problems.
  • A jack of all trades – be available and ready for unexpected daily needs of office and special projects.
  • Prepare workstations, set up computers, and conduct office tours for new staff.
  • Assist with onboarding of new staff members.

 

Admin Support (10%)

  • Provide admin support to COO and Ops Manager including meeting, appointment coordination, travel logistics, communication assistance, and shipping.
  • Assist with maintaining central filing systems for various departments by scanning, printing, and uploading documents.
  • Partner with Operations Team to maintain office policies as necessary.

 

You’ll thrive in this role if you have: 

  • Proven experience working in a professional office environment working on office management or administrative tasks in a fast-paced work environment.
  • Excellent verbal and written communication.
  • Strong attention to detail.
  • Resilience and adaptable to change.
  • A get-it-done attitude, solutions-oriented mindset, and high level of ownership.
  • Fantastic time-management skills, and the ability to prioritize and focus on multiple tasks in a fast-paced environment.
  • Have fun knowing you’re helping everyone get their to-dos done!

Bonus Points:

  • You have experience with scheduling and calendar management, event planning, and organization.
  • You’ve used Asana, Microsoft applications, Gsuite, and/or MacOS.
  • You approach every challenge and request with a strong sense of customer service and urgency.
  • You ask questions. You are humble enough to admit when you don't know and open to suggestions from your teammates.

 

Compensation and Benefits

  • This is a full-time exempt position with an anticipated salary of $60,000 We believe in work-life balance and are committed to keeping the workload in alignment with this value.
  • We provide 20 days of Paid Time Off (160 hours)/year accrued for the first two years of full-time employment, 13 paid holidays, and a flexible, family-friendly schedule.

Our Hiring Process and Timeline
