POSITION DESCRIPTION

 

Position Title:                Executive Associate

FLSA Status:                  Exempt, Full Time

 

Position Summary:

The SETI Institute is seeking a creative, positive, solution oriented Associate to work in a mission driven, dynamic environment! 

 

The position is responsible for managing tactical and strategic administrative projects in support of the CEO and other executives. The Associate will work closely with the CEO and the senior management team and will be the liaison to the Board of Directors. The successful candidate will be able to anticipate the needs of the CEO and manage complex assignments, activities and communications on behalf of the CEO and the senior staff. This is a highly visible position that requires heavy interaction with the Board members, internal scientists and staff, scientists at NASA Ames and other high-level executives. The Associate is expected to embrace change and manage uncertainty in a dynamic environment with tact and diplomacy. We are seeking self-directed, confident, creative and solution oriented professionals who are able to gain the trust of employees at all levels, and who value honesty and transparency. High tech, marketing/sales, or non-profit experience is highly desirable.  

 

Responsibilities:

·       Manage CEO calendar and availability and commitments to ensure clear priorities and optimum use of executive time;

·       Organize and coordinate Board meetings; prepare and distribute board packages prior to the scheduled Trustee meetings;

·       Schedule and attend senior management weekly staff meeting; ensure agenda and action items are clearly understood by participants, and meeting outcomes are productive;

·       Maintain Board minutes and records, generate reports for executive team and support other business units as needed;

·       Prioritize conflicting needs and handle matters expeditiously; provide solutions to challenging situations proactively and in a professional manner;

·       Partner with Development, HR, IT and Communication teams to plan and coordinate all aspects of various SETI events inside and off-site locations; 

·       Organize web and video meetings; apply technical proficiency to ensure smooth and seamless meeting/conference experience;

·       Maintain calendar for CEO’s direct staff; organize prepare and edit executive presentations;

·       Schedule executive appointments and meetings, including coordination of business travel, lunch and dinner engagements;

·       Coordinate various functions, i.e. All Hands meetings, offsite, and other employee or business events;

·        

 

Requirements:

·       Bachelor’s degree highly preferred;

·       At least 6+ years of previous experience as a partner to senior executives in a fast-paced environment is required;

·       Strong technical skills and proficiency in Microsoft office, Zoom, and web-based applications are required;

·       Proven ability to perform proactively, with a positive attitude, and manage multiple projects with attention to detail;

·       Experience in a marketing/sales environment is highly desired; must be willing and able to work after hours as necessary/required;
