Job Summary

Reporting to the Director of Alumni Relations and Annual Giving, this individual supports events, projects and initiatives of the Office of Alumni Relations and Medical Education within the Development Department. He or she will work with the Alumni Advisory Council in consultation with the Director of Alumni Relations and Annual Giving. He or she will help to enhance alumni connectivity to the Icahn School of Medicine at Mount Sinai and Mount Sinai Hospital. He or she will maintain the Alumni website and use other social media tools (ie: Facebook, LinkedIn). This role serves as a key point of contact for alumni and staff. He or she will manage coordination and implementation of Alumni sponsored events and will be the main contact for departments and vendors involved in alumni relations events and programming.

Duties and Responsibilities

  1. Work on planning, production and execution of signature alumni events (Reunion, Jacobi Medallion Ceremony).
  2. Maintain the Alumni website, Alumni Social Media (Facebook, LinkedIn), Alumni Mentoring Database, and department forms as needed.
  3. Prepare a wide variety of correspondence and reports utilizing Raisers Edge and Mentoring database software; with regards to data mining, queries, export, report and attendance at events, as well as maintain own notes on alumni records.
  4. Collects notes for alumni publications, reunion class data and Advisory Council meetings.
  5. Coordinate Alumni Regional Chapter program including events, correspondence and follow-up.
  6. Work closely with Department of Medical Education on White Coat Ceremony, Match Day and 1st Year Orientation.
  7. Serve as the key point of contact for alumni, staff, and other constituents.
  8. Coordinate correspondence and assist in Alumni Board meeting facilitation.
  9. Develop and coordinate materials for distribution at meetings, including meeting notices, agendas and handouts as well as mail pieces and marketing materials.
  10. Contact, organize and maintain alumni contact information in database format.
  11. Assist in coordinating and executing all events run by the department including alumni zoom engagement opportunities between alumni and students.
  12. Supervise any student workers needed in the office throughout the year.
  13. 13. Perform other duties as assigned.

Minimum Education

Bachelor’s degree, preference for those with a degree in Communications, Marketing, Business or in a comparable field.

Minimum Related Experience

A minimum of 2 years of professional experience with previous development, alumni relations or customer service experience required.

Minimum Computer Skills

  • Advanced computer skills (Microsoft Word, Excel, PowerPoint, Outlook)
  • Experience maintaining a tracking system and/or databases required
  • Social media expertise preferred
  • Knowledge of Raisers Edge Software preferred
  • Experience with Zoom

General Skills

  • Superior written and communication skills required.
  • Demonstrated excellent organizational skills required.
  • Proven problem solving and interpersonal skills with experience providing complex, confidential administrative support in a high profile environment with tact and diplomacy.
  • Expertise in operating data base, spreadsheet and word processing software applications in a complex computer information system.
  • Ability to work with multiple deadlines and multiple priorities.
  • Ability to work across a variety of projects and with diverse constituencies. 

Describe Work Environment

General office work environment. Some evening and weekend work related to special events and meetings is required.
