Position Summary:

Treehouse has been awarded $1.345 million in federal CARES Act funding to provide tutoring and academic remediation while also eliminating financial barriers to success in school for both youth in foster care and young adults in Extended Foster Care (EFC) through December 31, 2021.

This role will serve as an adaptive member of Treehouse’s Financial Resources team by administering funding for the Treehouse CARES Project and will be responsible for processing all referral and funding requests. The incumbent will negotiate with vendors, prepare internal and external trainings and communicate regularly with caregivers and social workers. If you are detail oriented, well organized and passionate about centering the needs of youth furthest from educational and systemic justice, this is the role for you.

This is a temporary position anticipated to last through December 31, 2021. However, it is possible that funding for this program could change resulting in an extended end date for this position.


Essential Functions:

·        Administer CARES Project funds to remove barriers to school engagement and academic progression.

·        Build and manage working relationships with internal staff, social workers, youth, caregivers and vendors. Build positive, authentic and effective working relationships with individuals of various ages, cultures, socioeconomic backgrounds and abilities.

·        Support effective, efficient youth referral and intake practices by receiving and processing referrals for service, prioritizing referrals based on urgency, verifying eligibility, ensuring completeness of information and handling any correspondence with referral source.

·        Act as a primary point of contact for caregivers and referring partners by maintaining a high level of contact and communication to ensure referrals are complete and accurate. Respond to inquiries about services, eligibility, and status of referrals.

·        Ensure accurate and up to date information regarding Treehouse programs, eligibility and referral processes is available to stakeholders.

·        Maintain accurate and complete records, participant support needs, contact information, eligibility and approved services.

·        Process and maintain financial reports, scheduled payments and supporting documentation per established guidelines and processing timeline for proper accounting of program funding budget.

·        Research, evaluate and monitor vendors and community service partners for quality and effective service.

·        Follow strict security procedures, ensuring confidentiality of youth and caregiver records.

·        Provide staff training to refresh knowledge of referral and intake processes and partner with other departments to evaluate for process improvement.

·        Provide administrative support to the Financial Resources team.


Additional Functions:

·        Participate in program planning and Treehouse meetings as assigned.

·        Support overall Treehouse operations as an ambassador for the mission. 

·        Attend monthly all-staff meetings and annual racial equity trainings.

·        Attend bi-weekly team meetings.

·        Other duties as assigned.


Knowledge, Skills and Abilities:

Required

·        Minimum of 2 years of experience in a customer service focused field.

·        Strong oral and written communication skills.

·        Demonstrated ability to build positive, authentic and effective working relationships with individuals of various ages, cultures, socioeconomic backgrounds and abilities.

·        Excellent customer service skills.

·        Ability to remain flexible and positive in a changing work environment.

·        Demonstrated ability to maintain records and data to support effective program measurement processes and continuous program improvement strategies.

·        Strong organizational skills, attention to detail, ability to prioritize tasks, and meet established deadlines. 

·        Ability to maintain a high level of discretion when working with confidential information.

·        Regular attendance required.

·        Ability and aptitude with Microsoft Office Suite and other technology necessary for successful day-to-day functioning in business environment including video conferencing.

·        Reliable transportation and if driving on Treehouse business, current driver's license and minimum WA State driver insurance coverage required.  Driving record must be approved by Treehouse insurance provider.

·        Must satisfy Washington State criminal background requirements for working with youth and vulnerable adults.


Desired

·        Associate’s degree in Social Services, Business, Communications or related field.

·        Previous experience with Dynamics or similar Customer Relationship Management (CRM) software.

·        Working knowledge of child welfare system.

·        Working knowledge of federal and state education law, including special education.


Work Location: Currently due to the COVID pandemic, this position is 80% remote. The applicant must have the ability to travel to the Seattle office once a week to mail checks.


Work Schedule: The standard work schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m.

·        Emotional Effort – recognize and respect personal boundaries of self and clients, adapt to changing environment/stress, deal with unexpected emotional support needs of self and clients, handle strong emotions of youth and adults, respond effectively and appropriately to needs of youth experiencing trauma.

·        Physical Requirements Long periods of sitting, extensive computer work, using office/computer equipment. Ability to travel to client locations.

·        Working Conditions - typical business office environment, working from home, in a retail/warehouse facility. Treehouse’s Seattle office is a dog friendly work environment.
