A-SPAN is seeking a qualified candidate to fill the role of Administrative Coordinator for the Development Department. A-SPAN’s mission is to transform lives by delivering housing solutions and pathways to stability. Reporting directly to the Senior Director of Development, the Administrative Coordinator provides support to the A-SPAN Development department by delivering core services to support fundraising. The Administrative Coordinator plays a vital role in the coordination and delivery of development activities and campaigns by managing the administrative functions associated with all fundraising functions. The Administrative Associate must be “all in” – he/she must be willing to contribute and roll their sleeves up to get the job done in an efficient and accurate way. He/she must be creative and enjoy working within a growing nonprofit that is mission-driven, results-focused and community-oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, organizational skills, and the ability to maintain a realistic balance among multiple priorities and simultaneous projects. The Administrative Coordinator must be flexible, able to work independently, have excellent time management skills, and exercise discretion about confidential matters.

Job duties include but are not limited to:

DEVELOPMENT:

  • Oversees donor database (DonorPerfect) which includes managing all data entry, gift recording and coding and updating donor records.
  • Generates pledge reminders and all invoices
  • Produce timely and accurate donor acknowledgment letters/tax receipts
  • Manage the production of donor reports and lists
  • Respond to donor queries related to gift processing
  • Support logistics and project management for donor campaigns (digital and/or print)
  • Help to write content, edit, and manage in-house and mail-house solicitations including quarterly communications, calendar end year campaign letters, back to school solicitation and online giving opportunities
  • Act as the point of contact for in-kind donations
  • Maintain the Volgistics Volunteer Database
  • Track volunteer hours
  • Conduct tours of the Homeless Services Center with prospective partners and donors
  • Manage and capture photography to be used with written content
  • Support the planning and execution of virtual events with individual and institutional donors
  • Manage the Development team’s online files
  • Support management of the Development work plan and budget
  • Manage web/telephone, email and USPS based inquiries to provide support to Development team such as handling small project inquiries to successful conclusion

FINANCE:

  • Batch cash, check, and credit card donations for the staff Accountant, and support monthly reconciliation
  • Pay bills and handle other accounts payables as assigned
  • Manage credit card reconciliation and expense reports for CEO and Development Department

Skills and Desired Attributes:

Strong attention to detail and accuracy

Ability to remain highly organized and self-disciplined

Be knowledgeable of fundraising and communication fundamentals, ethics, and trends in fundraising

Enthusiasm and ability to represent the organization positively in the community

Solid project management skills

Strong writing, critical thinking, technology, and listening skills

Ability to work independently and as part of a team, juggling multiple competing priorities, deadlines, and tasks

Must have a friendly and socially confident personality and the ability to communicate with a diverse and varied population

Qualifications:

Bachelor’s Degree (required) and one to three years of professional experience. Very strong verbal, written, and organizational skills. Preference will be given to those who have experience using a fundraising database such as DonorPerfect. Must have strong interpersonal skills and a strong sense of teamwork. Proficient with technology and advanced PC skills in Microsoft Office, including Word, PowerPoint, and Excel.
