Community Music Center (CMC) seeks a passionate, compassionate, and experienced leader and administrator to join our team in a role that combines key aspects of CMC’s programs and operations, aiding CMC in serving thousands of people each year!

Overview of Position:

The ideal candidate for the Richmond District Branch (RDB) Registrar position at Community Music Center is someone with a passion for music education and community arts. The ideal candidate possesses a service-oriented approach; students and faculty feel valued at home in the growing CMC Community through their work. The Registrar acts as an essential liaison between faculty, students/parents, and staff; their work is at the intersection of CMC’s programming and operations.

Reporting to the Executive Director, the RDB Registrar’s responsibilities include the overall management and implementation of registration activities for the Community Music Center’s Richmond District Branch. The Richmond District Registrar works closely with the Mission District Registration Team and CMC’s Program Director to review policies and procedures related to all aspects of student enrollment. The RDB Registrar also manages information in CMC’s registration database and collaboratively develops and maintains the master school schedule.

PRINCIPAL JOB RESPONSIBILITES:

Registration

  • Responsible for all student registrations for the Richmond District Branch from initial inquiries through payment; this includes matching the student to a teacher, the schedule of lessons, follow-up, and tuition payments.
  • Responsible for all communications for student registration and attendance, including assisting in the ongoing improvement of the web-based registration process
  • Responsible for implementing and maintaining procedures for each quarter including re-registration, new student registration, and ongoing registration

Communication with Faculty and Program Coordination

  • Acts as a key liaison between faculty, students/parents, and staff
  • Foster clear and efficient communication with teachers regarding their schedule, rosters, and attendance records
  • Communicate CMC registration and attendance policy and procedures with faculty and students
  • Maintain a working knowledge of all CMC programs and upcoming events

Finance

  • Responsible for tracking tuition income; including invoicing, billing, and accounts receivable Track and update student sliding scale status annually
  • Monitor faculty hours and attendance for payroll
  • Responsible for RDB offline payments, deposits, and reports

Scheduling

  • Manage RDB studio and off-site studio teaching schedules
  • Coordinate use of studios and additional building spaces with Richmond Neighborhood Center

QUALIFICATIONS:

  • The ideal candidate has strong communication and customer service skills, is a team player, and approaches all situations in a friendly and helpful manner.
  • Administrative work experience in a non-profit or in the field of arts management is required.
  • Excellent written, verbal, and presentation skills are essential
  • Previous supervisory experience desired.
  • Highly proficient in database management, Microsoft Office Suite programs, and GSuite; experience with ASAP Connected data-based highly preferred.
  • Commitment to Community Music Center goals and knowledge of music and music education is highly desired.
  • Efficiency and attention to detail and the ability to work on multiple projects
  • Strong organizational skills, with the ability to work both independently and as part of a team.
  • Chinese language skills are highly preferred.

WORKING CONDITIONS:

  • Full-time, 40 hours per week; flexibility on preferred working days/times is available. Of note, our registrars often adjust work hours during enrollment periods.

Salary: Commensurate with experience
