Development and Operations Associate

  • Pay Range: $27.50 - $32.00 per hour
  • Employer Health Insurance Contribution: $400 per month

Who We Are

The Friends of the Palo Alto Junior Museum & Zoo (Friends) is a nonprofit organization with the mission to support and enhance the Palo Alto Junior Museum & Zoo (JMZ), which is owned and operated by the City of Palo Alto. The JMZ is a beloved Palo Alto institution that has served the community for 90 years. The Friends fundraises for capital projects, as well as access and inclusion programs that ensure that the JMZ remains accessible to everyone. The Friends raised $25 million to rebuild the JMZ, and the new facility reopened to the public in 2021 after more than a decade of planning, fundraising, and construction. Most recently, the Friends raised $300,000 for the JMZ’s California Dinosaur Garden exhibit, which features life-size dinosaurs, interactive exhibits, and an accessible fossil dig. The new and enhanced JMZ offers richer experiences for visitors and greater accessibility for children of all abilities, which we continue to prioritize in our work.

  • Computer Skills: Microsoft Office, Google Workspace, word processing, spreadsheets, CRM database, internet research, design software such as InDesign and/or Illustrator
  • Bachelor’s degree preferred.

What You Will Do

This position will report to the Advancement and Operations Manager. You will also work closely with the Board of Directors. Primary responsibilities include support of events, CRM maintenance, and coding revenue and expenses. In addition, there will be opportunities to write grant applications for public and private funders in collaboration with the Development Committee. This position will also be responsible for the office.

Job Responsibilities

Development Support (35%)

  • Process donations in a timely manner and enter all information into the CRM.
  • Generate donation acknowledgements.  
  • Assist with the creation of the Annual Report.
  • Support Events Team with community events and larger events, primarily vendor management.
  • Assist with the writing and submission of grant applications.
  • Assist with donor tours (scheduling and follow up). 

Finance (25%)

  • Partner closely with third-party accountants and Friends' Finance Committee to develop, track, and accurately report financial information against budget, using assigned account codes.
  • Support the annual budget process, including projection, development, revisions, formal review and approval, and ongoing monitoring and reporting.
  • Liaise with vendors in processing timely payments, and resolving billing issues.
  • Manage all bank transactions and maintenance of accurate deposit records.
  • Support submission of information for the annual review and liaise between accountant and auditor, keeping the Finance Committee abreast of relevant audit activity and deadlines.
  • Submit tax documents to the state as prepared by the reviewers.

General Office (25%)

  • Manage all office functions.
  • Maintain an efficient, up-to-date filing system for financial data, Board documents, development records, etc.
  • Maintain equipment and software contracts, warranties, purchase information and office keys.
  • Provide meeting phone/IT support.
  • Arrange maintenance and backup for equipment and software systems as needed.
  • Ensure appropriate document and data retention for all paper and electronic documents and communications, according to Friends’ Document Retention policy.
  • Support creation of HR policies in compliance with California law.

Board Support (15%)

  • Support and manage Board schedule, including scheduling, agenda creation and management, and notes/record keeping.
  • Support preparation of A/V, facility rentals, and catering for in-person board meetings.
