Job description: The Director of Operations manages the institute’s finances and administration, working closely with the Executive Director to oversee fellowship logistics, and coordinate meetings and events. Additional duties include development support and communications. Ideal candidates will enjoy having a diverse range of responsibilities, take initiative in helping build our outreach and have strong writing and copyediting skills. 

Reporting directly to the Executive Director, the duties of the Director of Operations include:

Program

  • Oversee all administrative, legal, insurance, and financial aspects of the ICWA fellowship program
  • Manage fellowship application process and timeline
  • Coordinate the launch and recovery of fellows
  • Support fellow experience
  • Support social media outreach, marketing and website maintenance
  • Direct all meeting and event planning, in-person and virtual
  • Maintain annual ICWA calendar of events

Development

  • Coordinate general fundraising activities with the Development Director and Executive Director
  • Assist with overall development calendar ensuring deadlines and goals are being met
  • Help maintain a general development prospect database
  • Provide general development assistance in the form of document creation and preparation
  • Work with the Development Director coordinating and executing development campaigns and projects
  • Assist in the preparation of development materials for meetings, fundraisers and donor/prospect centric events

Financial

  • Administer all financial matters of the foundation, a 501(c)(3) organization
  • Serve as the principal staff liaison to the Finance Committee and attend committee meetings
  • Manage annual budget preparation in coordination with the Executive Director and Treasurer
  • Oversee and support bookkeeper
  • Perform light bookkeeping tasks and report generating (QuickBooks)
  • Reconcile donations between the general ledger and development database
  • Review and approve all invoices and timesheets for payment
  • Co-sign with the Executive Director all checks and other legal document at that require a second signature or the signature of the Treasurer
  • Ensure proper documentation and acknowledgement of income, including donations

Administrative

  • Manage all human resources functions of the organization
  • Database oversight (Donor Perfect, Constant Contact, etc.)
  • Administer payroll, employment benefits and retirement program
  • Maintain paperwork for compliance with state and federal laws for employees in states located
  • Provide operational governance oversight
  • Serve as staff liaison for the Board of Trustees and other standing or specialty committees
  • Manage the physical office space, outsourced IT support staff, and other outside vendors including building lease management and insurance broker
  • Other duties as assigned
