Description

Under the direction of and working in collaboration with the Director of Human Resources and the HR team, is responsible for recruitment, managing the HRIS, employee training and development, faculty contract production and distribution, interpretation of policies and procedures for employees, and development and implementation of new policies as needed.


Responsibilities:

  • Responsible for the management and maintenance of the HRIS system in collaboration with the Enterprise Systems team, including: 
  • Expert use of Informer to prepare reports to support departmental and institutional activities
  • Work with IT to review HRIS processes and procedures and revise/update as necessary to create efficient workflows
  • Continual auditing and clean-up of existing HRIS data to ensure accuracy
  • Recruitment:
  • Under the direction of the Director of Human Resources and in collaboration with hiring managers:
  • Maintain the applicant tracking tool, including training hiring managers in using the tool
  • Collaborate with hiring managers on appropriate posting sites for particular administrative job postings
  • Screen and forward applications to hiring managers as appropriate
  • Maintain internal job posting board
  • Field basic questions in regards to employment opportunities
  • Keep statistics on recruitment
  • Maintain salary records for employees in the HR system and assure that all salary information is accurate and up to date
  • Processes changes in employment status
  • Work with Public Affairs to oversee and make appropriate changes to Human Resources pages on the Juilliard website to insure that information is up to date 
  • Under the direction of the Director of Human Resources, and within budget and time constraints, work to organize varied training sessions, Lunch and Learns, and wellness events for staff and faculty throughout the year
  • Prepare contracts for all College, Pre-College, MAP and Evening Division faculty, coordinating with Finance Office, Office of the Provost & Dean, and the Director of Human Resources
  • Implement and revise record retention processes in the office to ensure regulatory compliance
  • In collaboration with the Benefits Manager, help oversee employee leave plan administration (FMLA and PFL in particular) and process applicable paperwork with payroll
  • Work closely with the Office of International Advisement to ensure proper employment procedures are followed, including:
  • Maintain updated list of work authorization for current employees
  • Send out periodic reminders to international employees regarding necessary updates to I-9 documents
  • Meet with new international staff, faculty, and guests who enroll on payroll to review paperwork, including applicable W-4 tax status regulations
  • Work closely with Director of Human Resources to ensure that Human Resources policies are accurate and up to date and establish new policies to maintain compliance with Juilliard and federal, state and city laws
  • Collaborate with IT department on HR-related projects and systems 


Qualifications:

  • Bachelor’s degree
  • Three to five years of Human Resources experience
  • Knowledge of and interest in employment laws and programs 
  • Strong working knowledge of HRIS systems
  • Strong knowledge of MS Office (Word, Excel, Visio, Outlook) and the ability to learn new programs quickly
  • Excellent verbal and written communication skills and the ability to deal with employees at all levels in a professional and welcoming manner
  • Demonstrated ability as a self-starter able to work independently and as part of a team
  • Ability to appropriately handle confidential information and use strong discretion
  • Ability to perform multiple tasks under pressure
  • Highly organized with extreme attention to detail 
  • Familiarity with personal and medical leaves, FMLA, NYSL and PFL policies  
  • Interest and/or background in performing arts preferred
  • Knowledge of applicant tracking systems helpful
  • Experience with HireRight or other background check vendors a plus
