Position Overview:

The Individual Giving Coordinator provides support for the Individual Giving Team with a focus on the Friends of the Symphony, Symphony Club, and Seattle Symphony Volunteers (SSV) programs. This position will require strong organizational skills and a passion for customer service. The successful candidate will be able to take direction, seek clarity when needed, grasp standard office technologies easily, and be eager to learn unfamiliar content. An interest in classical music is desirable.

 

This role is fully cross trained with the Development Coordinator and will require regular sharing of duties depending on workload.

 

Qualifications:

·        Bachelor’s Degree or suitable experience working in an arts organization

·        Exceptional verbal and written communication skills

·        Extremely well-organized, detail oriented, and able to meet deadlines

·        Proficient user of MS Office including Word and Excel

·        Experience using Tessitura or other fundraising databases

·        Knowledge of/enthusiasm to learn about fundraising best practices

·        Previous donor/customer facing roles providing exceptional service

·        Ability to be a team player in a dynamic, fast-paced environment

·        Availability to flex schedule outside of typical office hours, including evenings and weekends

 

Essential Job Functions:

  • Serve as the lead staff member on Donor Relations inquiries, fielding donor calls and emails, and resolving questions in a prompt manner; provide exemplary customer service

·        Manage pledge billing processes, following up directly with Friends donors with invoices / calls

·        Ensure Gift Officers receive timely notification of donor’s pledge billing and collections issues, generate invoices and perform other follow-up upon request

·        Support the monthly giving program through regular maintenance of donor records, outreach to donors when billing issues occur, and distinct acknowledgement process

·        In conjunction with the Special Events team and Communications Manager, manage invitations, reminders, and confirmation messages for donor events via mail and email

·        Support the Senior Manager Individual Giving in managing data needs for tele-funding including Do-Not-Call Updates, Lead Generation, Suppression Lists, Pledge Management, and Invoicing

·        Partner with the Communications Manager and Gift Officer to deliver excellent stewardship to Friends of the Symphony and Symphony Club donors through premiums, thank you calls, seat cards, surprise and delight activities, etc.

  • Update donor information in Tessitura and merge records as needed

·        Coordinate in-house mailings for key donor groups, including the Symphony Club program

·        Alongside the Senior Manager Individual Giving, work closely with SSV leadership and serve as SSO representative at monthly SSV board meetings

·        Serve as staff liaison for SSV office staff, including training and providing ongoing support; remain informed of trends in volunteering

·        Work with SSO staff to identify meaningful volunteer placement opportunities and ensure proper training for volunteers on their roles and responsibilities

·        Ensure volunteer stewardship and recognition through ongoing communication with volunteers, and through implementation of volunteer motivation and recognition activities; promote staff recognition of volunteer contributions

·        Work across the Development Department to make effective use of volunteers in all our fundraising activities and administrative practices

·        Support the Development Coordinator in serving as a VIP Ticket concierge during as needed

  • Support the Gift Processing Coordinator in processing gifts and acknowledgements during high volume periods (end of each month, December, May, August)
  • Provide support as needed to the Development Department
