Job Title: Development and Communication Coordinator

Reports To: Executive Director

Pay Grade: 40 hours a week, $21.00 - $22.50 an hour. Not OT exempt.

Summary: The Development and Communication Coordinator oversees a consistent and comprehensive system of connecting the narrative of Q Center to community members, stakeholders and donors. This position will include, but not be limited to: creating and maintaining donor databases, constructing newsletters and social media posts, overseeing donor stewardship, and tracking/assisting with submissions for grants. 

Q Center Mission and Culture:  Portland’s Q Center serves as a safe space for the LGBTQIA2S+ community, which we measure through the understanding that an individual's intersecting identities impact how they experience our space. Our staff and board consider aspects of Feminism,Critcal Race Theory and Queer Theory to guide our actions and goals, and effectively serve the most intentionally sideline and marginalized community members. An ideal team member will be aware of, and have a commitment to breaking down, systemic barriers that have historically been supported by biases based on gender, race, sexuality, dis/ability, age, and other identity factors.

Essential Duties and Responsibilities: 

Q Center Development work (15-20 hours a week):

  1. Review donor database(s) to understand giving trends and identify/thank new donors.
  2. Oversee and implement stewardship/agreements for donations, sponsorships, and grants, per contracts or appropriate actions.
  3. Create tracking systems and calendars for all grant activity, reporting and other expectations, working with other Q Center staff and departments as appropriate.
  4. Assisting with conceiving and producing fundraising events.
  5. Coordinating volunteer teams to assist with regular fundraising functions, such as mailing campaigns, fundraising event needs, etc.

Q Center Communication work (15-20 hours a week):

  1. Social Media posts to reflect both Q Center community effort/impact and the work of partner LGBTQ+ organizations.
  2. Create a bi-monthly newsletter, including submissions from staff and board members, community partners and upcoming events. 
  3. Create and maintain a current database of appropriate press and media contacts with whom to partner, to amplify Q Center impact, programs, initiative, etc.
  4. Scheduling interviews with appropriate staff and/or board members, as appropriate.
  5. Write and distribute press releases.
  6. Create digital materials, as needed for promotion of events, internal Q Center messaging, etc., for both online and printed distribution.
  7. Review and provide updates for Q Center website, working in tandem with the administrative coordinator.

Miscellaneous (as needed):

  1. Ensure quality service to patrons, visitors, staff, and volunteers at Q Center
  2. Actively seek out opportunities to collaborate with community partners such as other non-profits, local business, and community leaders for collective impact
  3. Assist staff and volunteers in situations requiring immediate problem solving or crisis management
  4. Review and provide updates for Q Center website, working in tandem with the administrative coordinator.
  5. Provide updates, announcements, and testimonials regarding grant and donor activity, fundraising events, and volunteer opportunities. 

Experience Required: This position expects one to two years of professional or equivalent experience with programs at non-profit organizations. Highly competitive applicants should have experience in creating comprehensive and consistent communication campaigns, and high familiarity with social media platforms. Additionally, high level professional communication skills are desired, with a broad understanding of appropriate standards/norms for professional communiqués. 

Required Skills/Experience: 

  • Great organizational skills and exceptional attention to detail
  • Interpersonal skills and ability to respectfully interact with diverse communities
  • Experience with creating and maintaining databases
  • High competency in G-Suite (Google), Canva, Squarespace and Microsoft administrative software. Mail merge and spreadsheet use a strong plus.
  • Experience creating engaging and appropriate social media content
  • Experience writing press releases (or transferable skills)
  • Ability to write in different styles, appropriate to specific Q Center communication campaigns.
  • Time management and prioritization skills to ensure meetings of significant deadlines.
  • Ability to utilize calendar and scheduling software to predict and plan for tasks.
  • Ability to manage multiple projects and tasks within a day.
  • Ability to remain calm under pressure and not escalate inflammatory situations

Preferred Skills/Experience

  • Experience in overseeing donor stewardship and grant(s) fulfillment
  • Experience creating communications packages, including consistent tone, branding, standards, etc.
  • Experience interpreting grants, and subsequent contracts, bids, invoicing, etc.
  • Experience training and coordinating volunteer groups of at least 5 people in a single project.
  • Talent for de-escalation and mediation of low-level conflict.
