Reporting to the Chief Operating Officer, the Administrative and Development Assistant will be responsible for ensuring the smooth operation of the WildAid office, for supporting development and event functions, and for creating an environment that is efficient, motivating, and reflective of the organization’s core values. This individual is a dynamic and highly organized person who will be the organizational backbone for the San Francisco office, providing administrative support for a wide variety of activities. The Administrative and Development Assistant will also with work closely with the Development Manager to provide administrative support for fundraising operations and events for the organization.


This is a full-time position based in San Francisco. 

KEY PRIORITIES

 

Office Management

·      Manage office including liaising with building management, cleaning service, other outside vendors, and staff to ensure that the office is secure, clean, and well-maintained

·      Answer, direct, and return phone calls regarding WildAid inquiries

·      Greet and welcome office visitors

·      Collect, sort, distribute, and post incoming and outgoing DHL, FedEx, UPS, and USPS

·      Monitor office supplies and equipment stock, determine needs, and place requests for necessary items while maintaining relationships with outside vendors and developing new relations

·      Manage the organization and conference room calendar as needed

·      Coordinate staff travel and necessary arrangements, board meetings, special events as needed

·      Manage office infrastructure (workspaces, office set-up and maintenance)

·      Ensure filing system for office is current, organized and maintained properly

·      Field basic IT questions

·      Act as merchandise manager for online retail store. Order inventory, introduce new product, manage costs and liaise with vendors for ideal order fulfillment

·      Plan quarterly At Work Initiatives for staff bonding

·      Manage volunteers and interns on an as-needed basis, with the potential to create a volunteer management program

·      Other duties as requested

 

Development/Events

·      Carry out basic data entry and update office records and documents on a regular basis

·      Assist the organization with fundraising, education, and outreach events

·      Data entry support for development and donor acknowledgements

·      Donation check scanning, depositing, and data entry

·      Mailing out SWAG to donors and partners

·      Attend special events, seminars, and networking opportunities representing the organization (occasionally outside of standard work hours)

·      Provide logistical support to development manager and event planner for major events (galas, major events, etc.)

·      Provide event planner with logistical support on a daily basis



QUALIFICATIONS, KEY COMPETENCIES & IDEAL PROFILE

The ideal candidate will have two to four years of work experience at fast-paced, growth-oriented organizations. WildAid is a small, lean, and growing organization. All staff members must be comfortable in an entrepreneurial, start-up culture. Strong project management skills and the ability to prioritize multiple, often competing demands is critical. The successful candidate must be able to work very independently without a great deal of supervision.

Required:

Bachelor’s degree (or equivalent certification)

Strong written and verbal communication skills in English 

Demonstrated proficiency with Microsoft suite

Strong computer skills

Must maintain strict confidentiality of sensitive information


Desirable:

Experience in environmental and wildlife conservation

Language skills (Spanish, and or Mandarin)

Salesforce, especially Nonprofit Success Pack
