The Accounts Payable Specialist will work closely with the Controller and Director of Finance in managing the accounting operations of the organization. Responsibilities include handling the full cycle of accounts payable (from invoice input to check cutting and distribution), general ledger review and financial reporting in accordance with generally accepted accounting principles. Daily activities include processing bills, managing customers and vendors, coordinating with directors/managers to submit monthly corporate credit cards, reconciling prepaid expenses, and processing year-end accrual transactions. Additional responsibilities include performing month-end closings and preparing audit schedules. 



  •  Review all invoices for back-up documentation, appropriate coding, and approvals prior to payment 
  •  Prioritize invoices according to emergency needs 
  • Process employee reimbursements and check requests 
  • Audit and process corporate credit card transactions monthly 
  • Match invoices to checks/vouchers (EFTs), obtain all signatures for checks and distribute checks accordingly 
  • Process and maintain 1099  
  • Respond to all vendor and staff inquires 
  • Research and resolving accounts payable discrepancies 
  • Update and reconcile sub-ledger to the general ledger 
  • Assist in month end closing and audit schedule preparation 
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices 
  • Prepare and maintain AP aging reports 
  • Attend weekly Finance Department meetings, monthly agency staff meetings and individual weekly supervision 
  • Other duties as assigned  



  • Minimum of 3 + years accounts payable experience 
  • Ability to work in a fast-paced and high A/P volume environment with emphasis on accuracy and timeliness 
  • Experience working with fund accounting and project codes required 
  • Non-profit experience required 
  • 2 years college preferred, college courses in accounting preferred 
  • Strong problem solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills 
  • Through knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures 
  • Ability to perform mathematical computations such as percentages, factions, addition, subtraction, multiplication and division quickly and accurately 
  • Ability to communicate effectively verbally and in writing  
  • Working knowledge of Abila MIP and SAP Concur preferred 
  • Proficient in Microsoft Office (Word, Excel, Access, PowerPoint, Project and Outlook) 
  •  Must be well organized and a self-started 
  • Detail oriented, professional attitude, reliable 
  • Strong organizational and time management skills 
  • Strong work ethic 
  • Must be able to pass a Community Care Licensing background check
