We seek a passionate, forward-thinking, creative, art-loving individual to fill a crucial role in our Development department. The department, led by the Deputy Director and Chief Development Officer, is responsible for all fundraising activities, events, and liaising with key stakeholders across all donor constituencies; it also serves as the focal point for the Museum’s relationships with its supporters and key influencers in the community.

The role of the Development Assistant, Special Events, is to support the conception, planning, and execution of event activities including—but not limited to—exhibition openings and fundraisers. This involves building relationships across the Museum to support the cultivation and creation of guest lists, sending event invitations, accurate financial tracking, and providing crucial administrative support to the Special Events team.

Qualifications:

  • Interest or experience in the visual or performing arts and museum operations
  • Aptitude for maintaining and creating organizational systems with a keen attention to detail
  • Demonstrated experience with Salesforce CRM or similar fundraising database (such as Raiser’s Edge) in a nonprofit organization preferred; experience with Concur Systems desirable
  • Ability to multitask and prioritize in a fast-paced environment
  • Customer service experience
  • Familiarity with collaborative tools (such as Google Apps), Microsoft Office, and project management tools (such as Slack)
  • Strong computer literacy, excellent verbal and written communication skills
  • Bachelor’s degree or equivalent work experience required

Responsibilities:

General event support

  • Cultivate, organize, and manage event invitation lists, working closely with key contacts in departments across the Museum to ensure that important audiences are represented
  • Receive, process, and accurately report on all event responses
  • Ensure proper tracking of actions, mailings, and guest attendance in the Museum’s CRM system
  • Create and distribute event memos and face books to Museum leadership and frontline fundraising staff
  • Oversee the maintenance of the Museum’s tastemaker list of thought leaders, creatives, artists, and influencers
  • Create, submit for approval, and send event invitations including save-the-dates, evites, and printed materials
  • Work with the Museum’s vendors, including exclusive catering and lighting partners
  • Create Run-of-Show and Logistics memos for events
  • Assist in selection of decor and production of items needed for events
  • Provide on-site event support

Fundraising tasks

  • Assist in the creation and maintenance of prospect lists, including research into potential donors
  • Track income and confidentially maintain donor records
  • Process gifts and create acknowledgement letters in support of fundraising events
  • Manage solicitation mailings
  • Assist with the organization of event seating

Administrative duties

  • Manage calendar holds and coordinate entries in the Museum’s master calendar and exhibition calendars
  • Schedule and coordinate departmental meetings
  • Process contracts, purchase order requests, invoices, and payments via Concur Solutions system
  • Make recommendations for the improvement of internal systems
  • Other general support of Special Events, as needed

Start date: Immediately

Reports to: Manager, Special Events

Position type: Full-time

Salary: $45,000

Union status: Union—UAW Local 2110

FLSA status: Non-exempt

Schedule: 35 hours per week, Monday through Friday, 9 am to 5 pm, with occasional weekend and evening hours required
