Position Summary

Teach For All is seeking an Executive Assistant to Wendy Kopp, the Chief Executive Officer. Ensuring the CEO keeps a strategic, responsive, and sustainable schedule is an essential role. The CEO builds support for Teach For All’s mission, charts our strategic course, engages with network partners, and supports internal staff through an intensive meeting and (when possible again) international and domestic travel schedule, and her assistant is the primary enabler of her ability to do this successfully.  

The ideal candidate will be able to work at a fast pace on a variety of reactive and proactive tasks and projects. They will have an exceptional detail orientation, with demonstrable experience implementing strong personal management systems that enable them to keep track of dozens of scheduling requests, travel arrangements, meetings, and requests for the CEO’s time and input. This person will be compassionate and deliberate, with a keen ability to place themselves in the CEO’s shoes and find strategic and creative solutions to her many competing scheduling and travel needs and priorities.  This person will be an excellent communicator who is comfortable engaging with diverse stakeholders, ranging from our own internal staff to high-stakes external audiences.

 

The ideal candidate is self-motivated, with exceptional judgment and a keen ability to assess and reassess their top priorities on an hourly, daily and weekly basis. They will love working collaboratively with others, and feel that it comes naturally to them to share information and problem-solve with colleagues and external stakeholders alike. This person will look forward to tackling a wide and ever-changing scope of scheduling inputs, conflicts and updates on a daily basis. And lastly, it is essential that this person holds a sincere belief in Teach For All’s mission and vision, and approaches their work with energy and conviction as a result.


 

Responsibilities

  • Manage the CEO’s calendar to ensure CEO’s time is aligned with her priorities. This includes managing day-to-day internal and external high volume scheduling across multiple time-zones; re-prioritizing as necessary; engaging with numerous internal and external constituents with a high level of care, urgency and sensitivity; and being available for quick responses to scheduling confirmations and changes, updating the CEO and external and internal constituents as changes arise
  • Book domestic and international travel arrangements – including flights, hotels, and ground transportation (when travel resumes)
  • Manage the scheduling and logistics for large group Zoom calls with staff and external stakeholders- such as our monthly Organizational Forum and Teach For All Talks between our CEO and influential global leaders as well as quarterly Board and Network Advisory Council meetings
  • Oversee and execute all logistics of 1-2 annual in-person Board meetings, which includes but is not limited to creating day-of action plans, venue research, collaborating with local teams for on the ground logistical purposes, ordering meals and ensuring delivery, day-of on the ground support as well as managing all communications related to logistics (timing, travel, accommodation, etc.) with members and their offices in the lead-up to the event
  • Manage tracking against team budget; process reimbursements, requests for payment from external vendors, and monthly expense reports 
  • Co-create and manage internal and cross-team systems that enable the Executive Management Team to collaborate effectively with other key internal and external stakeholders, e.g. with our Global Development team
  • Provide additional ad hoc administrative support that includes but is not limited to: contract processing, sending thank you gifts, working with IT on technology issues, printing and mailing documents, trouble shooting video conference calls, coordinating mailings, maintaining listservs and contact information documents, ordering office supplies, and managing written correspondence that requires the CEO’s signature
  • Be proactive in supporting the CEO and creating a positive relationship with the rest of the organization and its external constituents 


Requirements

  • Experience with email-intensive/highly responsive work 
  • Proficiency in Zoom, Google Drive,  and Microsoft Suite applications (Excel, Word, Outlook, and conducting online research for travel booking required)
  • Experience supporting a CEO or senior staff member in a similar capacity strongly preferred
  • International experience strongly preferred

  • Able to thrive in a fast-paced, dynamic environment - managing a high volume of e-mail and other requests along with multiple streams of work, independently prioritize tasks, juggle competing priorities swiftly, and work effectively across a globally dispersed team environment
  • Demonstrates excellent judgment, creative problem solving, and strong critical thinking skills
  • Meticulous attention to detail and excellent organizational ability
  • Excellent, proactive communication skills and a comfort engaging with diverse stakeholders, ranging from our own internal staff to high-stakes external audiences

Work Authorization

Candidates for this position must possess local work authorization to be considered.

 

Travel and Hours

  • No travel is expected.
  • This individual must be available to generally work regular East Coast business hours, although there is flexibility as long as he/she can respond promptly to emails
  • Given that this role will support / work with individuals in various time-zones; non-traditional weekday hours and occasional weekend hours are expected


Compensation

Salary for this position is competitive and depends on prior experience. In addition, a comprehensive benefits package is included.
