This position will report to the Executive Director and Treasurer of the Congregation and will work closely with congregants, members of the Board of Trustees, the Rabbi, the Education Director, donors, member volunteers, synagogue and building staff, outside vendors, contractors and banks and will establish and maintain friendly and professional relationships.

Responsibilities include:

Accounts Receivable and Donations

  • Manage Chaverware database
  • Set up registration for events, including new events on Chaverweb
  • Bill member dues and other member fees
  • Maintain records of donations
  • Prepare and mail proper thank-you letters and donation acknowledgments. Work with newsletter editor to ensure proper listing of donations in Congregation’s newsletter
  • Bill license fees associated with use of our building
  • Ensure proper documentation in place for license agreements

Accounts Payable and Vendor Relations

  • Manage accounts payable to ensure prompt payment of the Congregation's obligations
  • Manage basic contracts and vendor relationships
  • Reconcile all bank and investment accounts and manage several dedicated funds
  • Prepare payroll twice per month (outsourced)

Financial Reporting

  • Preparation of monthly financial statements and membership report for Treasurer
  • Special reports and/or projects as requested

High Holy Day and Other Event Logistics

  • Prepare High Holy Day tickets for all members and guests
  • Provide administrative and logistical support required for Shabbat and life cycle events, High Holy Days, event programs and festivals, including receiving and labeling food deliveries

Building and Office Management

  • Maintain records of required building documentation and inspections to ensure compliance with applicable laws and regulations
  • Provide administrative and logistical support for the Executive Director
  • Manage the daily operations of the office
  • Order office supplies
  • Oversee purchasing to ensure compliance with budget
  • Maintain synagogue files
  • Special projects as requested

The ideal candidate will have:

  • Degree in Accounting
  • 2-5 years of accounts receivable and billing experience
  • Excellent communication and interpersonal skills
  • The ability to interact effectively with congregants, Board of Trustees, and Staff
  • Attention to detail
  • Demonstrated knowledge of budgeting and financial management
  • Discretion when working with confidential information
  • Flexibility and the ability to balance competing priorities and deadlines
  • Comfort working in a Jewish environment. Requires work on High Holy Days
  • Strong computer skills, including: QuickBooks, Outlook, Excel, Word and Publisher. Knowledge of WordPress and/or Chaverware a plus
  • The ability to quickly learn new computer systems
