Job Description

Title:                        Program Assistant

Reports to:                Program Manager/Program Director/Senior Program Director

Department:            Programs

Employment type:   Temporary with benefits

Duration:                  One year



The Program Assistant is responsible for supporting and assisting senior program staff and acting as a full and active member of the program team to ensure ICFJ maintains the highest standard of quality and efficiency in all of its projects.


Responsibilities:

·      Provides logistical support in coordination with supervisor, for participants and faculty such as:

o  Identifying and arranging “attachments” at host media outlets

o  Collaborating with supervisor to organize orientations, debriefs, workshops, and other program activities

o  Assisting with visa applications, pickup/delivery, as needed

o  Arranging travel and accommodations

o  Arranging catering and other meals

o  Arranging health insurance

o  Arrange cultural events

o  Manage and process per diems

·      Communicates and liaises with vendors, clients, sub-grantees and consultants to support program work,

·      Accompany participants to appointments; occasionally traveling overseas for program implementation

·      Assists with program finances: tracks financial reports and payments to participants, consultants and sub-grantees, under supervision

·      Assists supervisor in maintaining and updating program budgets

·      Maintains and updates program database

·      Maintains and updates spreadsheets to track program participants, activities, results and impact.

·      Implements monitoring and evaluation plan (s) MEL.

·       Performs additional administrative tasks as needed


Competencies

·      Professional Knowledge: Basic knowledge of federal grant compliance guidelines; basic understanding of best journalistic practices; understanding of program implementation including logistics, timelines, budgets, monitoring and evaluation, deliverables and impact

·      Geographic Knowledge: General knowledge of international political, economic and cultural/social environments in which journalists, newsrooms and media entrepreneurs/innovators operate

·      Self-Management: Ability to manage workload and adjust to change by prioritizing and/or using new resources to accomplish program goals; ability to complete assignments in a timely manner; ability to work under an appropriate level of supervision; ability to demonstrate professional behavior

·      Critical Thinking: Ability to analyze and problem-solve

·      Commitment to Excellence: Ability to consistently achieve or surpass program deliverables through attention to detail, accuracy and focus on program impact

·      Communications: Ability to communicate program needs effectively to ICFJ supervisors;

·      Technical Knowledge: Understanding and ability to use databases including Salesforce and Google Sheets/Docs; understanding of and ability to use and adopt new digital tools such as Storify, Silk, and Moovly; ability to show ICFJ staff how to use new resources

·      Diversity, Equity and Inclusion:

o  Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds. Ability to flex communication style to multiple cultural environments

o  Ability to present to diverse audiences, specifically racially, ethnically, and socioeconomically diverse communities

o  Experience working on a diverse team

o  Experience working with different communications style

Qualifications

·      Associate or Bachelor’s degree;

·      Minimum of one year working in a professional office environment is preferred;

·      Strong, proven organizational skills;

·      Attention to detail;

·      Proficiency in MS Office (especially MS Word and MS Excel);

·      Ability to process, organize and manage information; Salesforce or other database experience is a plus;

·      Demonstrated analytic, organizational and problem-solving skills

·      Demonstrated written communication skills; strong English-language skills

·      Experience using social media including Twitter, Facebook and LinkedIn is preferred;

·      Proficiency in Spanish is a plus;

·      Journalism experience preferred.
