About the Position

The ABF invites applications from candidates with administrative experience in higher education or academic research to join its senior management team on a full time or possibly part-time basis. The Associate Director will play a pivotal role in partnering with the senior leadership team in strategic decision making and operations, as the ABF continues to enhance its award-winning research and programming. The role has a significant level of responsibility and requires confidentiality and discretion in all areas of ABF activities. The Associate Director will report directly to the ABF Executive Director, and will have the opportunity seek out new and innovative ways to improve the ABF. The position is a hands-on and participative one that will lead and develop an internal team to support the ABF in institutional relations, academic affairs, and general operations including overseeing human resources, administration, and information technology.

Responsibilities:

Institutional Relations

  • Assist in planning, organizing, and executing quarterly ABF Board and Executive Committee Meetings, including attending all meetings and taking minutes
  • Support relevant ABF Board Committees (e.g. Executive, Nominating, Research, Institutional Relations, Diversity & Inclusion, and Governance) by planning meetings, circulating agendas and related documents, and taking minutes
  • Collaborate with ABF and American Bar Association (ABA) leaders and appropriate ABF staff and faculty to promote and disseminate ABF research, and coordinate with other external entities regarding specific ABF research projects and programming
  • Act as liaison between ABF faculty and staff and other external entities (ABF Board of Directors, ABA entities, university partners, and otherwise) in coordinating research and programming activities, including workshops, panels, conferences, and other collaborative arrangements.
  • Assist Executive Director with communications and negotiations with partner institutions, including Chicago-area universities with regard to faculty joint or potential joint appointments

Academic Affairs

  • Coordinate with ABF faculty and staff in developing and supporting administrative policies and procedures that promote research of faculty, postdoctoral/doctoral fellows, and other ABF researchers, including executing policies related to faculty hiring and retirements
  • Collaborate with ABF faculty and staff in planning, organizing, and executing academic events, including conferences, workshops, and other research-related gatherings, by coordinating logistics and supervising relevant administrative staff
  • Assist ABF staff and faculty in administrative and procedural aspects of hiring of new faculty and postdoctoral and doctoral fellows, faculty contract renewals, research project approvals and extensions, and related matters
  • Collaborate with ABF Development, Grants, and Communications staff to identify and secure research funding opportunities and assist with dissemination of research to ABF stakeholders.
  • Assist ABF faculty Institutional Review Board (IRB) Committee to ensure IRB oversight and compliance with regulations governing human subjects research

Operations

  • In collaboration with the Executive Director and Board of Directors, contribute to overall staff leadership and internal strategic goals and objectives; seek out and promote efficiency and cost-effectiveness; promote equitable and inclusive personnel operations and procedures.
  • Collaborate with senior management in developing policies that effectively serve ABF’s overall goals and strategic plans.
  • Coordinate with ABF Chief Financial officer and Executive Director in supervising and monitoring ABF’s general operations budget and signing checks related to Human Resources, Communications, and Information Technology
  • Oversee the Law & Social Inquiry (LSI)/Montgomery Summer Undergraduate Research Fellowship Program (SURF) through ongoing mentoring, supportive management, and regular check in meetings with the LSI Editorial Coordinator/SURF Program Associate.
  • Provide supervision and guidance to the Executive Assistant and research assistants in support of operational aspects of projects and initiatives.

Qualifications

  • Bachelor’s degree required; law degree or advanced degree in social sciences preferred
  • 5-7 years minimum academic administrative experience required; nonprofit management experience highly preferred
  • Ability to interact well with academic professionals, board members, and other ABF personnel
  • Exceptional organizational ability, critical thinking, and problem-solving skills.
  • Direct supervisory experience required.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open cabinets, and bend or stand as necessary. This position requires the ability to move/lift up to 10 pounds.

Position Type and Expected Hours of Work

This is ideally a full-time exempt position, although a part-time arrangement may be possible for the appropriate candidate. Generally, for full time ABF staff employees, days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m., with a 1-hour lunch period. Occasional work outside of these hours is expected in connection with ABF events, such as participation in Board meetings.
