Founded in 1996, Smith Center for Healing and the Arts is a Washington, DC-based nonprofit health, education, and arts organization. Our mission is to develop and promote healing practices that explore physical, emotional, and mental resources that lead to life-affirming changes for people affected by cancer. 


Job Responsibilities:

In coordination with the Deputy Director, the Operations Coordinator will work to ensure day-to-day functioning of the organization, as well as provide administrative, logistical support to all departments within the organization.


Administrative Support/Reception

·     Coordinate and oversee all administrative needs of a professional, organized and well-run office

·     Responsible for all front desk/reception duties including answering telephones and welcoming visitors and directing to appropriate staff members/departments

·     Maintain office systems and files (calendars, telephones, shared drives, shared office files including memberships, vendors, equipment, etc.)

·     Provide first response computer and tech support to office staff

·     Oversee and coordinate organization’s IT vendor

·     Triage and respond to organization’s email inquiries

·     Oversee the organization’s resource center healing library

·     Collaborate to ensure improvement and implementation of operations systems, processes and policies, in support of the organization’s mission

·     Manage and maintain office supply inventory

·     Supervise operations intern(s) to ensure effective telephone and mail communications both internally and externally to maintain professional image

·     Assist with Board meeting preparation and communication


Finance Support

·     Assist with weekly finance processing

·     Assist with managing operations departmental budget

·     Negotiate procurement of office supplies, furniture, and office equipment for the entire staff in accordance with policies and budgetary restrictions


Human Resource Support

·     Maintain and regularly update all operational manuals and handbooks

·     Assist with new employee on-boarding by coordinating orientations and meetings and conducting equipment, communications and general operations orientations

·     Assist with employee, volunteer and internship recruitment through placing ads, screening applicants when necessary and forwarding to appropriate department.


Facilities Support

·     Oversee the maintenance and alteration of office areas and equipment as well as housekeeping of office facilities

·     Oversee and coordinate all operations vendor relations and communications

·     Oversee the maintenance of and usage of all office equipment including staff training on equipment and basic office procedures

·     Oversee all building maintenance according to internal standards and budgetary restrictions



·     Bachelor’s degree in Business Administration, Nonprofit Administration, Business Management or similar fields preferred – other degrees are welcome

·     Nonprofit experience preferred

·     2-3+ years related office operations experience required

·     Demonstrated multitasking, time management and negotiation skills

·     Exceptional interpersonal and customer service skills

·     Ability to handle confidential information with discretion

·     Experience working in team or collaborative environments

·     Ability to work autonomously; self-starter with excellent initiative

·     Exceptional proficiency in Microsoft Office, Macintosh required

·     Proficiency with Adobe Creative Suite preferred

·     Experience in computer problem solving preferred

·     Tech savvy skills preferred

·     Friendly, outgoing, flexible and positive attitude, a must

·     Desire to grow professionally in the field of nonprofit operations, finance, and human resources preferred

·     Knowledge of cancer, arts and healthcare and integrative healthcare a plus
