Your role -
The Executive Office provides the vision, leadership and general direction for AILA, actively interacting with all the departments, as well as day-to-day operations oversight. It includes the Executive Director and Deputy Directors. As Executive Assistant, you will to help further AILA’s mission, you will enhance the effectiveness of the Executive Office by providing a high level of administrative support to the Executive Director and Deputy Directors. This position has access to confidential and sensitive information, and therefore must function in a professional and confidential manner always.
Your role encompasses greeting visitors; maintaining electronic and paper files; faxing; photocopying; mailing and couriering packages; setting appointments and conference calls; making travel arrangements; setting up catered meals; preparing meeting agendas; preparing check requests and expense reports; drafting correspondence; note taking, editing and proofreading materials; and performing internet research. Additionally, you will assist in the coordination of materials for board meetings; draft and edit memorandums, presentations, charts, etc.; and track and coordinate board expense reimbursements.
Your background -
This position will work closely with a range of individuals within and outside of the association to coordinate projects and initiatives. Candidates must demonstrate effective and efficient project management, and must be capable of exercising initiative, discretion and good judgment. Candidates should have active listening and problem-solving skills; outstanding interpersonal and organizational skills; excellent verbal and written communication skills; a capacity to develop a working knowledge of organization and various program; and the capacity to provide timely response to requests for information, service and/or assistance. As the assistant to the Executive team, the Executive Assistant is the behind-the-scenes key to helping ensure the strongest possible leadership.
To perform successfully in this role, our ideal candidate should possess an undergraduate degree (preferred); a minimum of three (3) years of experience in an administrative position preferably within a nonprofit environment and/or supporting senior level executives; and a commitment to AILA’s mission and interest in immigration issues. Candidates should possess an understanding of the business importance of providing exemplary customer service and have a proficiency in MS Office Suite (specifically Word, Excel, Outlook and PowerPoint).
