The Data and Stewardship Associate will be responsible for managing Salsa - our Constituent Relationship Management (CRM) system - and maintaining the accuracy and integrity of that information. The Associate will ensure accurate entry of donations, update constituent profiles, facilitate timely gift acknowledgment letters and receipts, generate fundraising and financial reports on a monthly basis, and maintain the development filing systems. The Associate will work out of Mikva’s Chicago office and will partner with Mikva’s resource development department and its local chapters in Chicago, Washington, D.C. and the Los Angeles area, and will serve as expert and trainer in maximizing the Salsa’s functions to strengthen Mikva’s fundraising capabilities.

The Data and Stewardship Associate will also provide administrative support to the Development team on projects that align with our special events and annual fund drive, including direct mail projects, mailing list management, event logistics. In addition, the Associate will support our institutional giving and communications work by coordinating the reporting of data and segmentation of donors, and maintaining a database of media assets and collateral materials.

This position is located at the Chicago chapter of Mikva Challenge and reports to the Director of Donor Relations. The development department is supervised by the Chief Development Officer.


  • Manage Salsa database (CRM), including gift entry, updating constituent information, and creating mailing lists, contact lists and reports. Track gift/financial and biographical information on donors, volunteers, alumni, and other supporters of the organization.
  • Maintain the development database with timely data entry, gift processing, and regular data cleansing.
  • Generate donor acknowledgment letters and donation receipts on a regular basis.
  • Generate revenue reports/queries to support the Chief Development Officer and chapter offices in tracking revenue monthly. Create monthly reports for each on few key donor data points each month (# of new donors, # of returning donors, total raised, etc.)
  • Prepare revenue reports for and attend monthly financial reconciliation meetings between the Operations and Development departments.
  • Maintain contact lists within email marketing program (Salsa Engage).
  • Provide administrative support as needed to development team including chapter offices in executing a comprehensive annual appeal program, including researching strategies on how to incorporate young professionals, alumni, e-campaigns, focus on new donors, and increasing average gift amounts.
  • Provide logistical support as needed to the Development team and chapter offices related to Mikva’s annual fund drive, including direct mail projects and mailing list management.
  • Provide event planning support as needed for at least two Chicago-based special events annually (Summer Fundraiser, Spring Benefit).
  • Support the grant application and reporting pipeline. This includes researching, drafting and copy-editing relevant content, gathering supporting materials, and working in a cross-functional team to manage a grant calendar.
  • As part of a team, support the development of timely and donor-driven external fundraising material, including donor updates, event follow-up, letters and other correspondence.
  • Conduct prospect research on individuals, foundations, corporate, and government donors. Manage donor profiles and assist in the tracking of relationships to support the effective cultivation and stewardship of new and existing donors.
  • Maintain and update a database of media assets and collaterals.
  • Coordinate and maintain workflow between CRM database and websites.

Requirements:  Bachelor’s degree.  Proficiency with Microsoft Office Suite.

Qualifications: The ideal candidate will have a minimum of two years’ professional experience in fundraising, communications, or marketing. . Candidate must be highly organized, confident managing projects that require a high degree of detail, self-driven, and able to thrive in a deadline-driven environment.Candidate must be comfortable understanding and managing a database and problem-solving.  Candidate must have a record of working well collaboratively and supporting more than one project at a time.
