Position: Executive Assistant to the Founder

Full-Time/Exempt

Location: Rohnert Park, CA

Reports to: WomenServe, Founder

Summary

We have an amazing opportunity to join our team at WomenServe as Executive Assistant to the Founder. We are looking for an exceptionally organized and motivated individual to help elevate our team and build the next chapter of exciting growth.

About Us

WomenServe was founded by Nioma Sadler to unlock the potential of women and girls in Western Rajasthan, India by increasing access to water, health and hygiene, education, and economic empowerment. We are a California non-profit, private foundation organized and operated exclusively for charitable purposes within the meaning of section 501(c)(3) of the Internal Revenue Code.

Your Impact

We are seeking an experienced Executive Assistant who will work directly with our Founder, Nioma Sadler, to support her evolving roles at WomenServe and across her work as philanthropist, business owner, and social impact visionary. In this role you will be a true EA business partner to our Founder, from managing her calendar and communications, to ensuring she is always set up for success. This role is ideal for someone with a high level of communication and digital expertise, who is excited to manage a variety of tasks at any given time while prioritizing their workload. This is a person who enjoys navigating ambiguity, runs towards challenges, and thrives in a dynamic team while actively seeking opportunities to expand and solve problems.


1) Executive Support: You proactively manage the day-to-day needs and calendar of the Founder to optimize her time, priorities, and set her up for success.

  • Ensure her time is well-utilized by coordinating internal and external requests, managing meeting cadence and scheduling, planning and preparing for conferences and travel, and arranging any materials and agendas the Founder may need to be successful;
  • Keep the Founder on track and manage her workload by taking detailed notes, tracking action items, and ensuring the most important priorities are being met in a timely way;
  • Complete expense reports and assist the Founder with budget review processes;
  • Research, prioritize, and follow up on incoming issues and concerns to prepare the Founder and determine the best course of action, referral or response; and
  • Support access to and storage of information by organizing files, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

2) Communication & Partnership Management: You represent and support the Founder through stellar verbal and written communication skills, using your wizard-like mobile and digital skills to build strategic relationships with stakeholders across all levels.

  • Track all the Founder’s communications, organize and respond to emails, draft correspondence using discretion and sensitivity to confidential information;
  • Conserve Founder’s time by reading, researching and responding to reports and communications; reviewing documents for grammatical errors, typos and formatting;
  • Build and maintain relationships crucial to the success of the company and manage a variety of special projects for the Founder; 
  • Support the Founder’s speaking engagements by authoring or editing speaking notes, creating presentations, and supporting live and in-person speeches: 
  • Build trust and credibility in the Founder through assembling press kits, and overseeing social media presence.

3) Event & Program Support: You assist the Founder and team with a variety of projects as needed, including the organization of fundraising events, board meetings, and other activities to further the Founder’s mission and impact, including but not limited to:

  • The Day of the Girl: assist in planning and execution of our flagship fundraiser, including vendor management, event set up, community outreach, and coordination for event activities such as auctions and raffles.
  • The Walk for Girls and Water: support digital fundraising efforts through database support, communication review; and 
  • WomenServe Shop: assist with logistics of e-commerce store, including fulfilling orders, ordering and organizing supplies, and supporting quarterly inventory counts and management.

What You Bring

  • Minimum of 3+ years of experience as an Executive Assistant reporting directly to senior management;
  • Outstanding interpersonal communication skills (written and oral), including a high degree of proficiency in document and deck creation with little or no external input;
  • Advanced Microsoft Office, G-Suite and other technology platform skills, with an ability to become quickly familiar with firm-specific programs and software;
  • Experience in exercising sensibility, discretion, and diplomacy in handling all matters, information, and relationships (including confidential or sensitive information);
  • Ability to work efficiently, juggle multiple projects with appropriate prioritization, adhere to quick deadlines, and adapt to evolving circumstances;
  • Ability to work a normal schedule of Monday through Friday during normal business hours with the ability to provide support for urgent situations outside of normal business hours (i.e. travel cancellations, less than 5% of the time);
  • Confidence in taking initiative, anticipating needs;
  • Exceptional people skills, emotional intelligence, and ability to work both in a team environment and independently;
  • Must bring enthusiasm, friendly and professional demeanor, patience, and a thick skin with a sense of humor and winning attitude; and
  • A willingness to travel to unknown territory in a fast-paced start-up!
