Development Administrative Assistant

Part-time – 50% of FTE Position

Gideon Hausner Jewish Day School – a thriving, pluralistic school community founded in 1990 and situated on a beautiful campus in Palo Alto, California – seeks a dynamic and collaborative development professional with strong attention to detail, interpersonal skills, and a track record in supporting organizational philanthropic engagement to serve as its Development Administrative Assistant.

The successful candidate will report to the Director of Advancement and assist with managing the organization’s gift administration process including receiving recording and acknowledging gifts, maintaining the donor database, and providing administrative support to the department as needed.

This is a 12-month, 50% part-time, non-exempt, salaried position.


Essential Responsibilities:

· Work closely with and provide administrative support to the Director of Advancement.

· Oversee and manage the school's gift administration program, including implementing gift management policies, and maintaining comprehensive and accurate records of all pledges and donations in the development database.

· Oversee and implement gift acknowledgment process.

· Work with Annual Fund Manager to assist with monthly gift reconciliation with Finance.

· Provide operational and administrative support for donor campaigns.

· Run mailing lists and reports.

· Support volunteers with Development and campaign activities as needed.

· Research prospective donors.

· Assist with on-site support of development events, including coordination of mailings, gift bags, and materials throughout the year.

· Provide occasional backup to front-desk staff.

· Undertake other duties as assigned by the Director of Advancement.


Qualifications:

· Bachelor’s degree

· Experience in fundraising, as a paid staff person or volunteer leader, with demonstrated experience in maintaining and managing a donor database.

· Excellent written and verbal communication skills.

· Familiarity with independent school education preferred, ideally Jewish day school education

· Deep connection to the mission of the school and clear appreciation for its impact.

· Demonstrated experience in using CRMs and/or fundraising databases and spreadsheets.

· Adept in utilizing web-based research tools to conduct extensive individual and institutional donor research.

· Active engagement in professional learning, including currency with best practices

· Sensitivity and discretion with confidential financial data.

· Creativity and flexibility, attention to detail and ability to manage competing priorities, with sense of humor and customer-orientation a must.


Physical Requirements and Work Environment:

· Generally work in standard office or school / classroom conditions and climate

· Noise level is usually low to moderate and occasionally high

· May work in varied inclement outside weather conditions during special activities

· Regular requirements to talk and hear, stand, walk, sit, and use a keyboard and video display terminal

· Possible requirements to stoop, kneel, or crouch

· Occasional requirements to lift up to 30 pounds

· The work environment can be stressful at times, involving a wide variety of challenges, deadlines, and encounters with a diverse array of contacts
