  • Function as the “front door” to services in the Outpatient Services Division; responsibilities may include some or all the following, dependent on program assignment and location:
  • Oversight of main entrance lobby/program lobbies; including greeting and directing clients, client sign in and sign out from program, maintaining an orderly process at the front desk, etc.
  • Answering the dedicated intake line for referrals coming through Central Intake; including documentation of call in the electronic health record, scanning of referral documents, review of insurance in ePaces, directing the referral to the appropriate program and any necessary follow up to ensure a complete referral packet
  • Documenting client attendance in all programs, including sign in and sign out documentation when applicable, and entering all attendance in the appropriate records
  • Responsible for management of scheduling including client appointments, physician schedules, and client reminders.
  • Responsible for the management of all client transportation including, but not limited to the following: providing MetroCards and PTAR functions, funds for transportation, scheduling and/or rescheduling transportation through appropriate providers (MAS/Car Service), authorizations for Managed Care transportation and arranging the documentation necessary for authorization of transportation
  • Work with clients to problem solve any administrative issues that arise including, but not limited to issues with scheduling, transportation, medication issues/refills, co-pays, record requests, etc.
  • Perform routine clerical support services, including but not limited to copying, faxing, answering phones, filing, data collection, mail sorting, scanning, etc., to all programs and under the direction of Administrative Coordinator and AVP
  • Monitor all cash and cash equivalent balances and submit required documentation for ongoing reimbursement
  • Assist all programs with chart maintenance, including but not limited to the following: create new charts when necessary, close charts for clients who have been discharged, track all client records and provide information from charts to service providers when needed
  • Monitor office supplies and complete order requests
  • Perform related administrative and record keeping duties, including data collection and analysis, correspondence, reports, etc.
  • Attend staff meetings, supervision, conferences, and trainings, as required.
  • Maintain and ensure HIPAA confidentiality of records and all client information
  • Liaise with other departments within the Bridge, and with outside providers, for administrative requests regarding program clients
  • Complete administrative special projects as assigned by Program Administration
  • Perform other appropriate tasks as assigned and provide coverage for other Administrative Assistants when necessary due to illness, vacation, and other absences
  • Any other duties as assigned.

Education/Qualifications:

  • High School Diploma/GED/TASC required, Bachelor’s preferred
  • At least 2 years of administrative assistant experience preferred
  • Excellent English/Spanish (preferred) language skills, both verbal and written
  • Preferred knowledge of Electronic Health Records and the internet
  • Willingness to learn and participate in appropriate trainings
  • Experience with individuals with mental health and/or substance use backgrounds
  • COVID vaccination is required for employment

Physical Demands:

  • Regularly required to speak clearly and hear the spoken word well
  • Regularly required to physically operate routine office equipment such as telephones, computers, fax machines, copiers, etc.
  • Regularly required to meet with clients in the office and in the community using customary modes of public transportation
  • Regularly required to utilize near vision ability to read data and documents, including spreadsheets and reports, in printed form and on computer screens.
  • This position requires infrequent travel throughout the New York City metropolitan area using various modes of transportation including NYC buses and subways
