Overview

The Development Associate is a position that supports the wider activities of the development department including those of the Associate Director of Donor Relations and Engagement (ADDRE) and the Chief Development Officer (CDO).


Responsibilities

  • Gift Processing and Development Database (70%)
  • Assist with end-to-end activities associated with financial and in-kind gift processing: donor record creation, accurate gift entry, acknowledgment letter production, batch report creation and filing of completed batches.
  • Provide regular data hygiene support (updating addresses, identifying and merging duplicate records)
  • Draft updated acknowledgement letters quarterly and as appropriate for events and campaigns
  • Coordinate the signature and mailing of acknowledgement letters weekly
  • Run database queries
  • Add donor contact notes for the CDO as needed

 

  • Workplace Giving and Recurring Donor Support (15%)
  • Serve as point person for all United Way and Combined Federal Campaign programs including attending events, donor tracking and stewardship
  • Create and facilitate the sending of the annual workplace giving donor postcard Create and execute a plan to build workplace giving support from local and national corporations
  • Maintain login information for all workplace giving portals to ensure that all donors are recognized accurately
  • Help build sustaining donor campaign and provide stewardship

 

  • Donor Stewardship (10%)
  • 200+ Gift Meeting
  • Pull weekly list of $200+ gifts and format for meeting with ADDRE and CDO
  • Facilitate weekly meeting and make note of the person responsible for thanking each donor
  • Individually thank donors for gifts of $200-$500 and others as assigned during the meeting
  • Gratitude Mondays
  • Facility Gratitude Monday (the 3rd team meeting of each month is dedicated to donor gratitude and stewardship) – bring supplies (note cards, envelopes, etc) and lists

 

  • Other Development Support (5%)
  • Be a thought leader and integral member on the Development team
  • Provide ad hoc event support, working with Events Manager
  • Provide ad hoc volunteer and in-kind office support
  • Assist with general office support including data entry, mailings, bill processing, ordering, and meeting preparation, etc.
  • Interact and coordinate activities with donors, board members, staff, volunteers and clients
  • Other duties as assigned

Qualifications

  • Bachelor’s degree and at least 1 year relevant experience preferred, HS diploma and at least 3 years’ relevant experience required
  • Experience with fundraising and/or accounting software including data entry, reporting and queries
  • A high degree of attention to detail
  • Ability to work both autonomously and in a team setting
  • Highly organized; possesses the ability to prioritize multiple projects
  • Proficiency with Microsoft Word, Excel, Outlook, Publisher and PowerPoint
  • Excellent ability to develop and maintain respectful rapport with clients, co-workers and supporters from diverse backgrounds
  • Ability to communicate verbally in a poised, professional and confident manner
  • Mature abilities problem-solving, and conflict resolution
  • Ability to lift and carry items up to 30 pounds in weight
  • Ability to occasionally drive a 15 passenger van or willingness to be trained on driving 15 passenger van (preferred)
