Beth El Synagogue is seeking a hard-working, experienced, team player for its open Office Manager position.  The Office Manager will ultimately be responsible for the congregation’s operational success, supporting the clergy, other administrative staff and lay leadership with membership, communications and project management functions. The Office Manager will be an integral, front-line voice for, and face of, the Beth El community.

Role and Responsibilities

•    Be the “face and voice of the synagogue office” as the first point of contact when a congregant or community member calls, visits or emails the Synagogue. Communicate effectively and personably with congregants, making sure their needs are met in a timely manner.

•    Collaborates with Clergy and lay leadership on all tasks and responsibilities deemed necessary by them. Acts as a liaison with synagogue committee chairs and members to ensure their needs are met for the betterment of the congregation.

•    Supervises the maintenance staff. Ensures all maintenance responsibilities are completed properly as requested and on time. Provides feedback to said staff for improvements or changes.

•    Interacts and collaborates in an ongoing, professional manner, with the tenant of our Education Wing space. 

•    Manages, in consultation with lay leadership, buildings and grounds projects, including interacting with the contractors to stay up to date on project status and progress.

•    Ensures the Synagogue is in compliance with all security, inspection and insurance requirements. This includes interacting with the various companies who provide such services, completing and maintaining necessary documentation, obtaining and submitting signatures for ongoing contracts, and completing background checks and applications for employees.

    •    Collaborates on financial, ShulCloud and QuickBooks tasks. Financial obligations may include entering and paying invoices in QuickBooks, billing for advertising, invoicing for catering, collecting payments from congregants for dinners or other events, sorting/distributing/copying donation checks for volunteer use, scanning and depositing checks remotely into bank accounts, distributing supermarket gift cards for fundraising purposes.

•    Routinely accesses, updates and manages information exchange in the membership database, ShulCloud, FileMaker and Constant Contact. Utilizes mail merge when required.

•    Coordinates and plans events, celebrations, and holiday festivities including acting as a liaison with external vendors.

•    Completes various secretarial functions including but not limited to, drafting thank you/life cycle/donation letters, preparing and mailing multiple membership materials throughout the year, compiling and organizing for distribution B’nai Mitzvah materials. Some travel planning and organization for synagogue trips may be required.

•    Writes, publishes, posts and/or designs publicity and external communications for the website, weekly e-newsletter, weekly printed announcements as well as other publications (i.e. monthly bulletin, flyers and signage).

•    Manages, posts and distributes the paper and electronic versions of the Synagogue calendar for both public and internal usage.

•    Operates and controls office equipment including the phone system, postage and copier/scanning machines, and interacts with the appropriate vendors for technical support and upkeep.

•    Edits short videos for YouTube, website and email posting.

•    Maintains an inventory and adequate supply of office, kitchen, and janitorial supplies.

The Office Manager will be expected to assume other duties within reason as they may arise.

Skills, Competencies, and Qualifications

•    Excellent customer service, interpersonal skills. Including impeccable verbal and written communication (including proofreading) skills

•    Strong time and project management, as well as multi-tasking, skill sets.

•    Efficient organizational skills with keen attention to detail.

    •    Demonstrated ability to work independently, and take direction/instruction from clergy as well as lay leadership.

•    Strong collaborative spirit and behavior. Interfaces in an outgoing, friendly demeanor to reinforce the “haimish” (warm, relaxed, home-like) environment of Beth El Synagogue. Ability to interact in a positive manner with staff, congregants, volunteers and the public.

•    Experience supervising maintenance staff and managing day-to-day building maintenance activities.

•    Working knowledge of, or willingness to learn, Judaic practices and rituals including familiarity with the Jewish calendar of celebrations and holidays.

•    Proven ability to maintain confidentiality especially with life cycle events.

•    Competency with Outlook and Gmail email systems, and systematic organization and maintenance of emails in a highly demanding, email centric environment.

•    Proficiency in the Microsoft Office Suite including Word, Excel, PowerPoint and Publisher

•    Experience with database management including Constant Contact, Filemaker and ShulCloud preferred

Schedule:

Full Time

Monday-Thursday, 9:00am-5:30pm, Friday, 9:00am-2:30pm

Salary:

$47,000-$50,000
