The International Refugee Assistance Project (“IRAP”) is a dynamic and growing legal, policy, and advocacy organization that works to develop and enforce a system of legal and human rights for refugees and displaced people around the world. Opportunity

IRAP is seeking an Executive Assistant to support our Executive Director (ED) and two Deputy Executive Directors (Deputy EDs). The Executive Assistant will perform a variety of administrative tasks across IRAP’s work, including managing emails, scheduling, booking travel, note-taking, setting up and troubleshooting basic tech, assisting with basic factual research into refugee and human rights issues, and assisting with some fundraising and development functions. This is an exciting opportunity for an individual interested in refugees, human rights, and immigration/international law, and to be part of a growing agency that makes an impact on the lives of refugees.

Location: The candidate will work in IRAP’s U.S. office in New York City. Upon starting work at IRAP, work would be remote until it is safe to work from the office. IRAP provides the necessary work equipment. The position is full-time (40 hrs/week).

Responsibilities

  • Work closely and effectively with the Executive Director and Deputy EDs to keep them well informed of upcoming commitments and responsibilities, and following up appropriately;
  • Schedule meetings and update calendars;
  • Manage special projects and conduct research as needed for the ED and Deputy EDs;
  • Assist in preparing and managing meeting agendas, presentations and notes for the ED and Deputy EDs, and occasionally accompany the ED and Deputy EDs to meetings and handle follow-up on action items;
  • Coordinate IRAP-wide meetings and conferences;
  • Make travel arrangements and reservations;
  • Manage expenses and submit expense reports for the ED and Deputy EDs;
  • Support the Development Department with fundraising activities, including sending personalized notes and emails on behalf of the ED and Deputy EDs and other outreach;
  • Provide technical support to the ED and Deputy EDs;
  • Manage confidential salary, budget, and legal information;
  • Serve as a liaison between the ED and the Board of Directors; and
  • Other duties as assigned.

Qualifications

  • Exceptional organizational skills that reflect sound judgment and ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
  • Proven experience as an executive assistant or in other administrative positions;
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response;
  • Ability to prioritize conflicting needs;
  • Handle matters expeditiously and proactively, and follow through on projects to successful completion, often with deadline pressures;
  • Highly resourceful team-player, with the ability to also be extremely effective independently;
  • Very strong interpersonal skills and the ability to build relationships with various stakeholders;
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability;
  • Proficiency with technical tools and applications, such as Google applications, Office Suite (including Excel and Powerpoint), Remote Desktop and VPN, Skype and Signal;
  • Excellent verbal and written communication skills;
  • Excellent note-taking skills;
  • Strong research, writing, and analytical skills;
  • Dedication to human rights and refugee issues;
  • Experience working in an international organization and/or living or working outside of the U.S. is a plus.

SALARY: $58,350-$75,854 depending on years of experience.
