Who are we?

Founded in 2007, Culmore Clinic is a part-time, nonprofit, interfaith health clinic serving low-income, uninsured adults in the culturally diverse communities of Bailey’s Crossroads and Culmore in Northern Virginia. Culmore Clinic provides compassionate, culturally sensitive primary healthcare, mental health services, and specialty care referrals, at little to no cost. Currently, patients are offered both telemedicine visits and limited onsite patient services. The Clinic has a robust volunteer base of providers, nurses, counselors, specialists, interpreters, and other logistical and administrative volunteers, all of whom are supported by a small, paid staff.

What is a Patient Scheduler?

A Patient Scheduler will serve as the coordinator for schedules and appointments between Clinic providers and patients. Schedulers must listen to the needs of the person requesting the appointment and then find the time that works best for both the patient and the provider. The Patient Scheduler often manages multiple calls and can determine the priority of patients’ needs to determine when an immediate slot should be found or if a patient can come in based on the current schedule. The Patient Scheduler also manages appointment cancelations, including a provider who may need to reschedule, finding the best alternatives for all.

What would you be doing?

Working in close collaboration with the Patient Services Manager and other team members, you would be focused on scheduling patients for routine in-clinic appointments for enrollment, medical care, and counseling. Tasks include:

  • Answering phone calls and e-mails, greeting patients and prospective patients, and reminding them of upcoming appointments
  • Scheduling appointments for patient consultations, procedures, and visits with providers and onsite specialists using the Clinic’s Electronic Health Record system
  • Liaising and coordinating with health care professionals and patients about schedules, and any changes
  • Accepting and tracking patient donations
  • Resolving scheduling conflicts as they occur
  • Managing volunteers who help with patient scheduling and enrollment
  • Facilitating referral of ineligible patients to other safety-net providers
  • Managing patient transfer process in concert with the Patient Services Manager

What would make you a strong candidate for this position?

First, your resume would show us that you have a bachelor’s degree and a minimum of five years’ experience in a customer service, preferably in a social work or healthcare environment; you can demonstrate a strong competency with Google and Microsoft Office applications; you are bi-lingual in at least English and Spanish; and you have experience working with diverse populations that experience multiple barriers to achieving health and stability.

Third, you would be able to list at least three professional references (including one previous supervisor) that, upon final selection, could testify to you being able to manage the multiple tasks involved in this role; to demonstrate good time management and organizational skills; to show a kind, patient, and helpful spirit to those with whom you work and whom you serve; and to demonstrate strong problem-solving skills. We would also welcome learning of any other qualities you might have, but are too humble to tell us directly!
