Are you interested in joining the NAS team? We are a small, highly collaborative organization, looking for a Program Assistant to support our online and in person event experiences and to connect with participants in clear and methodical ways. This is our superhero for maintaining dynamic virtual and physical environments where people across the arts and culture sector come together to learn and connect. As part of the NAS team, you chip in to support a variety of programs serving entrepreneurs, mid-level leaders, chief executives, and our diverse and international group of alumni. This position reports to the Director and is an integral part of our team, working across initiatives towards successful program delivery and mission achievement.

This position is phenomenal for some who:

  • Loves to plan in-person and online events and pays attention to the nitty gritty to ensure participants are well cared for and always in the know
  • Communicates effectively when writing to and speaking with partners, participants, alumni, and prospective participants
  • Excels at organizing information and logistics so that team members are clear on what’s happening and how they fit in with the plans
  • Has an eye for maintaining brand style guidelines across materials and communications

Key Activities

Project Management Support

  • Work with program directors and managers to create program timelines; track deadlines and expenditures
  • Bring external and internal teammates together for program-related meetings
  • Maintain Salesforce CRM for program needs (organize applications, track attendance, meal preferences, special requirements, changes in titles, etc.)
  • Create and distribute program evaluations to program participants; format and distribute results to team members

Event Planning and Coordination

  • Plan in-person event logistics by researching, contracting, and coordinating with venues, catering vendors, A/V suppliers, and transportation providers
  • Plan and assist with online events by setting up online platforms, sending links, and administering online meeting functions such as breakout rooms, polls, etc.
  • Create and maintain online classrooms
  • Track vendor payment timelines with the Finance and Executive Assistant
  • Work with Engagement Manager to produce and distribute event materials (slides, handouts, welcome packets, schedules, signage, welcome bags, custom notebooks, etc.) according to approved design templates

Communications

  • Serve as the main customer service contact for both program applicants and participants
  • Schedule recruitment and program-related phone or Zoom calls with applicants and participants
  • Draft and send emails with logistical information and program updates to participants
  • Correspond with participants when they have logistical questions
  • Verbally communicate information to groups on video calls and at convenings

Social Media

  • Support Engagement Manager in drafting and maintaining the social media content calendar

Qualifications

This position requires, at a minimum, the following qualifications and personal qualities:

  • Highly detail-oriented and organized
  • Excellent communication skills
  • Excellent listening skills and the ability to interpret and articulate the needs of participants and prospective participants
  • 1-3 years experience working in a customer service, event planning, or logistics coordination role
  • Familiarity with the non-profit arts industry (as staff, volunteer, and/or consumer)
  • Proficiency in Microsoft Office (Word, PowerPoint, Outlook, Excel)
  • Experience with Adobe Creative Suite (or willingness to learn through training)

This is a full-time position. The general schedule for this position is Monday through Friday from 8:00 am to 4:30 pm with an hour for lunch. An alternate schedule may be possible and should be discussed with the supervisor.

The starting salary for this position is $40,000 per year, plus the benefits we currently offer, which include health insurance and retirement benefits, sick/vacation leave, ongoing professional development, and flexible work hours.

Currently, all NAS employees are working remotely. Upon lifting of COVID restrictions, we will return to a combination of remote work and work from our office, located in a Metro-accessible location in Alexandria, Virginia. This position is required to work from our office two days per month at a minimum (with no expense reimbursement). Travel to NAS events (post-COVID) is required 3-4 times per year (with expense reimbursement).
