What You Will Do

The Operations Manager is a member of the Principal’s Campus-Based Leadership Team (CBLT). As an active member of the CBLT, the Operations Manager supports school leadership in non-instructional obligations so that they can focus almost exclusively on scholar achievement and the professional growth of staff. S/he maintains the operational efficiency of the school, with five primary functions: overseeing daily operational oversight; overseeing business administration; providing general administrative oversight and facilities support for the school; supporting student recruitment and enrollment processes; and oversight of technology and data at campus level.


Reporting to the Chief Operating Officer, with a strong dotted line reporting relationship with the Principal, you will:


Operations Oversight

  • Manage all aspects of operations of the school daily
  • Supervise all supporting operations team members at the campus, including the Operations Coordinators, Office Coordinator, and Cafeteria Coordinator (if applicable)
  • Serve as the school’s main point of contact for outside vendors and service providers when reviewing bids, placing orders, and overseeing service level agreements, including food service, custodial services, and health services
  • Serve as the main point of contact to the school food service company, working with the Cafeteria Coordinator to ensure that food arrives on time and in proper quantities and condition; troubleshooting problems as they arise;
  • Coordinate with appropriate staff or faculty to make sure that student meals are appropriately tracked
  • Ensure timely planning and implementation of all items on the school’s annual calendar
  • Train and support staff in all relevant operational matters, including utilization of systems and equipment
  • Serve as the main point of contact for the school nurse (provided by an external agency), assisting with any questions, concerns, or issues that may arise related to scholar health needs
  • Serve as point of contact for the daily management of internal and external community partnerships (i.e. school-day programming, before/after care onsite, before/after care offsite)
  • Project manage on-the-ground implementation of network-wide initiatives (e.g. book fairs)
  • Manage DREAM Store (weekly scholar incentive) logistics: resource management, provision of scholar behavior paychecks, etc.
  • Engage in additional school-wide responsibilities, such as lunch/recess duty, hallway posts, events committees, etc.
  • Support arrival and dismissal processes on a daily basis, ensuring that the school is prepared for a safe and orderly arrival and dismissal each day
  • Manage the operational logistics of scholar test administration for all major interim and standardized testing, including distribution of test materials
  • Arrange transportation services and manage day-of logistics with third-party vendors for all off-campus activities
  • Lead logistical planning and implementation for all special programming, including the production of any documentation or distribution of any information (i.e. Parent-Teacher Conferences, field trips, Family Nights, etc.)
  • Coordinate all school-wide emergency procedures, including evacuation, lock-down drills, and inclement weather, to ensure compliance with regulations
  • Respond to all safety-related incidents and manage the collection and submission of school-based incident reports to Network Operations and Human Resources, as needed
  • Attend and support monthly Family Nights/events that invite families into the building








Business Administration Oversight

  • Ensure that business operations function smoothly, and activities are undertaken in an efficient and cost-effective fashion.
  • Adhere to organizational fiscal policies and procedures
  • Oversee the procurement and inventory of all goods and services for the school, ensuring that the school has what it needs to support student learning and staff work
  • Receive supplies and track shipments as needed, in collaboration with the Operations Coordinator
  • Support the Operations Coordinator in monitoring inventories for all common school supplies and uniforms (if applicable)
  • Maintain the school directory electronically
  • Coordinate with Network Talent Team to execute onboarding and off-boarding for all school-based employees
  • Manage compliance for various programs and grants as needed, including Tracking and analyzing meals count data as requested to support compliance with the reimbursement process for the National School Lunch Program
  • Oversee the campus’s petty cash in conjunction with the Special Assistant to the CEO, including reconciling all school-level expenses and accounts payable
  • Serve as the school-level contact with Achievement Prep’s outsourced accounting vendor
  • Maintain accurate records of all financial transactions and submit to appropriate Network Office personnel for processing
  • Oversee all school-level accounts receivable including funds collection from athletics, field trips, book fair, after-school programming, etc.
  • Participate in monthly meetings to review/reconcile budget variances


Facilities Oversight

  • Coordinate with the custodial service and maintenance staff to ensure that the school is appropriately cleaned and troubleshoot any problems
  • Conduct weekly and monthly facilities walkthroughs to ensure the building meets Achievement Prep’s standards of excellence
  • Ensure the maintenance of campus facilities by liaising with third-party contractors for custodial, property management, and trash removal services
  • Supervise the maintenance, repairs, and emergency management of the facility by the building engineer
  • Equip the school for all-staff summer pre-service and start of new school year for scholars by ordering furniture, equipment, and classroom supplies
  • Work with operations team and vendors to ensure building is maintained in safe manner at all times, including during school, after school, athletic events, family nights etc.


Scholar Enrollment Processes

  • Collect, track and monitor school enrollment information and work with Operations Coordinator to ensure that all enrollment paperwork is accurate and on file for all enrolled scholars;
  • Coordinate with Network Office to ensure all enrollment documents meet state and federal guidelines and requirements


Technological Oversight

  • Ensure the school has a fully-functioning technology infrastructure
  • Coordinate technology distribution and troubleshooting
  • Manage third-party IT support when onsite
  • Oversee the VoIP phone system
  • Manage the Google Suite’s email and listserv functions for the school
  • Troubleshoot low level network, phone, and copier issues that arise, elevate more complicated issues to appropriate vendors
  • Manage building security systems: security panels, staff fobs, fire enunciator controls, etc.


Scholar Data and Information

  • Oversee scholar information systems (i.e. PowerSchool, Kickboard, meal ordering systems, etc.)
  • Work with the Operations and Office Coordinators to ensure attendance, discipline, and scholar achievement data is accurate and updated on schedule
  • Maintain accurate scholar information with the assistance of applicable Network Office employees
  • Manage scholar information reporting to internal and external stakeholders
  • Assist school leadership with the maintenance of accurate school schedules and scholar records in accordance with school, state and federal requirements
  • Collaborate with Achievement Prep outside data vendor to manage scholar data


Customer Service

  • Deliver 5-Star Customer Service to all Achievement Prep stakeholders
  • Drive positive family and community relations for the school through quality communications and interactions
  • Ensure operations requests from staff are fulfilled within 1 business day
  • Serve as first point of contact for customer service matters, including requests for information, proper phone procedures, mail distribution, and family communication
  • Manage time, tasks, deadlines and responsibilities in a fast-paced environment


Administrative duties

  • Exhibit an unwavering commitment to high academic achievement and character development in our scholars
  • Liaise with and support network-wide operations team regularly
  • Conduct formal and informal evaluations and professional growth plans for direct reports
  • Serve as an active member of the Campus Based Leadership Team (CBLT) and work with the school principal
  • Meet as needed with leadership team members and share in the duties of running the campus effectively and to plan, problem solve, and support one another on an ongoing basis 
  • Work as a key member of the leadership team, collaborating and reflecting daily to ensure a strong school
  • Conduct weekly conversations with the campus-based leadership team focused on scholar achievement data to ensure clear next steps and strategies to drive scholar outcomes
  • Receive continuous feedback from peers and school leaders on your practice and be expected to give the same

You Must Have

  • Bachelor’s degree from an accredited institution
  • Minimum of 2 years related work experience, including consulting, management, business, operations, military, school district, charter or other nonprofit experience
  • A responsive and proactive disposition
  • Excellent written communication skills with the ability to produce error-free documents for internal and external distribution
  • High proficiency utilizing computers: internet searches, Microsoft Office (Word, Excel, PowerPoint, Publisher, etc.),Google Suite (Gmail, Docs, Sheets, Slides, Forms, Calendar, Drive, etc.)
  • Ability to lift up to 20lbs
  • Ability to be on feet the majority of the day: moving about the building, delivering supplies, responding to staff calls/requests, reaching, climbing
  • Flexibility to arrive prior to 7:30am or stay later than 5:00pm when required in order to lead before/after school operations
  • 1+ years of experience working in an urban setting with children in historically underserved communities
