JOB SUMMARY

The Special Events Manager is in charge of ensuring that all Plymouth events are well-designed, well-managed and executed in a timely, cost-effective manner. Special events include the annual luncheon, the spring gala, donor appreciation events, and house parties. As a key member of the Resource Development (RD) team, the Special Events Manager contributes to the development of annual goals and helps lead the development of department processes and functions.


ESSENTIAL JOB FUNCTIONS

Event Management (70%)

•Manages all core processes for Plymouth events, including the Annual Luncheon (1,400 attendees), Spring Gala (550 attendees), building tours, and house parties.

•Manages development and execution of all event logistics, as well as relationships with vendors, speakers, guests, volunteers and sponsors.

•Provides staff support for event committees, including Annual Luncheon and Spring Gala.

•Communicates with event guests, participants and attendees and ensures that volunteers are lined up for support by coordinating with Community Engagement Coordinator.

•Ensures that events are well-managed and produced on time and budget, and that community volunteers and guests are provided appropriate high-quality care.

•Work in collaboration with Senior Communications & Development Manager to develop an event marketing plan and implementation including management of event websites, online marketing tools, collateral design and production, and social media strategies.

•Assists with development of corporate sponsorships, their solicitation and benefit delivery for special events.

•Works with Stewardship Coordinator and Finance team to ensure that gift entry process is smooth and accurate.


Donor and Vendor Relations (25%)

•In coordination with the Senior Development & Events Manager and team, responsible for creating solid, respectful relationships with Plymouth donors, supporters and vendors.

•Actively seeks opportunities to involve, and thank Plymouth supporters, as well as educate them about Plymouth goals and mission.


Administrative (5%)

•Works with RD department to ensure accuracy in the development of mailing lists and mailing processes with staff, vendors and post office.


Performs other job-related duties as assigned by Chief Development Officer.


ESSENTIAL JOB QUALIFICATIONS

(Any equivalent combination of knowledge, skills, abilities, education, and experience.)


Education: Bachelor's degree in marketing, communications, or another related field. Experience may substitute for education.


Experience: Minimum of five (5) years event management, and three (3) years fundraising experience in a non-profit environment. Experience in graphic design and public relations a plus.


Other Qualifications:

•Demonstrated excellent written and verbal communication skills.

•Proficient and experienced with Microsoft Office applications (particularly Word, Excel, Outlook and Publisher) and desktop publishing (In Design). Must be able to work efficiently and effectively with customized databases (donors) and technology; conduct Internet research; and be comfortable learning new software.

•Able to develop and sustain successful relationships with donors, volunteers, vendors, speakers, sponsors and Plymouth staff members.

•Excellent organizational skills with ability to prioritize effectively and meet deadlines in a professional manner.

•Team player who can take initiative and work independently within department priorities and is willing to learn and take on additional responsibilities, as appropriate.

•Able to attend special events held after business hours and on weekends, as necessary.

•Able to manage a high level of responsibility with strict attention to detail.

•Demonstrated solid leadership and the ability to work independently.

•Experience with donor management software.
