Description

The Individual Philanthropy Manager is a front‐line fundraiser and an internally‐facing project

manager. (S)he oversees dynamic revenue streams for both Save The Bay (501c3) and Save The

Bay Action Fund (501c4) in consultation with senior staff throughout the organization. The

Manager possesses superior organizational and project management skills, an excellent

customer service attitude and loves interacting with people. The Manager supervises the

Individual Philanthropy Assistant and reports to the Chief Development Officer.


Overview

This position manages significant revenue‐generating programs for Save The Bay and Save The

Bay Action Fund, including direct mail, individual donor solicitations, and acknowledgement and

donor recognition programs. (S)he works closely with the Chief Development Officer and

Associate Director of Individual Philanthropy soliciting contributions to the organization from

donors ranging approximately $1 ‐ $2,499, through a direct mail program that raises nearly

$900,000 annually. The Manager is a Salesforce power user who ensures the integrity and

accuracy of individual donor information, and conceives and executes data projects in

Salesforce and across platforms. This position also works closely with the digital marketing

team to ensure Save The Bay’s campaigns are integrated for maximum impact.


The successful Individual Philanthropy Manager is well‐prepared, focused and able to manage

complicated campaigns with multiple staff. (S)he is an affable and donor‐focused person who

enjoys interacting with people in many internal and external settings, enjoys collaborating with

a dynamic, inclusive team and has a passion for Save The Bay’s programs and mission to restore

San Francisco Bay.


Direct Mail Program – 50%

 Oversee and serve as lead project manager on Save The Bay and Save The Bay Action Fund

direct mail programs, including donor acquisition, retention, upgrade, special appeals,

stewardship and cultivation, strategy and analysis.

 In conjunction with the Chief Development Officer and Director of Strategic Marketing &

Communications, direct and manage project teams that develop strategy, write, design,

produce and implement direct mail programs.

 Partner closely with the Data Solutions Specialist to execute large‐scale, complex data pulls

from Salesforce to support direct mail fundraising campaigns.

 Support the Chief Development Officer with developing annual and quarter budget goals for

direct mail and track progress against goals throughout the year.

 Manage all Direct Mail vender relations, including check‐requests, invoicing, RFPs and other

administrative and financial components of the program.

 Any other Direct Mail duties as assigned.


Individual Fundraising – 25%

 In concert with senior Development and Marketing staff, support the integration of lowdollar,

mid‐level, major donor, sustainer and planned giving income streams into one

comprehensive individual giving portfolio.

 Introduce, cultivate, solicit and steward donors primarily in the $1 ‐ $2,499 range and

employ strategies to increase their support and further bond them to Save The Bay.

 Liaise with the Communications and Marketing team, specifically as it pertains to digital and

other multi‐channel fundraising efforts.

 Lead donor research function for the Development department, including managing

ResearchPoint and Windfall tools, providing reports to key stakeholders and training others

on their use.

 Support the Associate Director of Individual Philanthropy on Save The Bay’s planned giving

and bequest donors, including marketing of program, solicitation of prospects and gifts

processing for bequests when they are received.

 Manage Donor Thank You Program to ensure all gifts are being acknowledged either

through a third‐party gifts processor ($1‐$249) or through in‐house procedures ($250+).


Salesforce Lead User: Data Projects – 15%

 Directly responsible for the accuracy and integrity of individual donor information in

Salesforce; direct Individual Philanthropy Assistant and volunteers in the routine entry of

information, as well as other special data projects.

 Support multi‐channel fundraising efforts from a data perspective, including initiating largescale

list pulls, data mining, wealth engine screens, data appends and other tasks as needed

and assigned. Collaborate with the Data Solutions Specialist and other staff and vendors as

required.

 Liaise with the Finance & Administration team to ensure Salesforce and other accounting

systems are in alignment and gifts are being properly recorded along every step of the

booking process.


Special Projects & Duties As Assigned ‐ 10%

 Supervise Individual Philanthropy Assistant, department fellows and volunteers. Ensure a

positive office experience and requisite training.

 Maintain Development Department calendar, schedule team meetings, support team

retreats and social activities.

 Participate in All Staff activities, such as quarterly mini‐retreats, planning sessions, and

social activities.

 Document protocols and procedures

 Other duties as assigned


Qualifications:

 Four years professional experience, including fundraising for non‐profit or political

organizations, information systems, database management, direct mail and donor contact

 Strong written and oral communication and customer services skills with a variety of

audiences, including high profile donors, advocates and senior staff

 CRM experience is a prerequisite for the position; Salesforce highly preferred

 Proficiency in Excel, Word, and Outlook is required. Experience with other technology

platforms and programs preferred, including but not limited to Asana, ActOn (or similar

email marketing platform), Adobe suite, Wordpress, Google Analytics, Facebook pages and

more.

 Demonstrated ability to work with a wide variety of individuals and in team settings. You

must be flexible, adaptable and inclusive. We embrace people with diverse backgrounds

and views.

 Experience making decisions on copy and graphic design is preferred

 Demonstrated project management experience involving multiple stakeholders and tasks

 Energy and enthusiasm for responding and communicating with donors of diverse

backgrounds

 Demonstrated ability to manage up to senior staff members with busy schedules and

competing priorities

 Ability to work some evenings and weekends as required

 Must present evidence of clean driving record, proof of auto insurance, valid California’s

driver’s license and submit to a criminal background check

 Physically able to lift at least 40 lbs.
