The Operations Assistant coordinates and manages all aspects of office operations of the organization, which includes supporting Development and LINC’s programs. This entry level position will report directly to the Director of Finance & Administration. This is an entry level position.


Responsibilities


Serves as administrator for general office operations and staff management:

  • Coordinates staff meetings and organizational events, including preparation and follow-up
  • Performs general office duties, including answering telephones, filing copying, and ordering supplies
  • Maintains office equipment, including phones, computers and information technologies
  • Maintains office environment and addresses maintenance issues with building management
  • Participates in general orientation and onboarding of new employees
  • Provides employee benefit presentations and enrollment
  • Main contact for various insurances, including health, paid family leave, disability leave, and workers compensation.


Contributes to LINC’s fundraising and development process:

  • Understands and advocates for LINC’s mission in all communications
  • Works closely with development team to support the yearly fundraising calendar
  • Contributes to the planning of fundraising events and special projects
  • Prepares the DYCD contracts and other government contracts
  • Collaborates with finance team in the preparation of audits; reviewing employee files, time sheets, and vendor documentation


Supports LINC programs and the program staff:

  • Assists program staff with the preparation and distribution of program materials and supplies
  • Coordinates with program staff to construct the DYCD program schedules
  • Collects and organizes donated materials, including books


Performs other related tasks as assigned.


Skills/Qualifications:

Bachelors Degree required

Demonstrated ability to prioritize and multitask in a busy environment

Excellent organization and time management skills

Excellent computer and technology skills

Excellent writing and interpersonal communication skills

Knowledge of SalesForce or other customer relations software/donor database systems a plus


Additional Skills/Qualifications:

A strong interest in early literacy and a familiarity with community organizing

Ability to work independently and as a member of a diverse team
