Job Description

The Manager, Advancement Services reports to the Director, Advancement Services and works closely with the entire staff to ensure the database and development services support the overall fundraising and alumni relations strategies of Cambridge in America.

The position also works closely with counterparts at the Cambridge University Development Office (CUDAR) and the 31 Colleges of Cambridge, primarily regarding gift issues. The position will interact closely with alumni & donors by telephone, email, and written correspondence.

Key Responsibilities

Manages data request system ensuring staff has various data needs met in a timely manner, including; generation of mailing lists for segmented appeals and events, creation of complex fundraising and financial reports, prospect lists, tools for moves management, and other business needs.

Oversees gift process including the review of batch gift entry, reporting to staff and Collegiate Cambridge partners on gift activity and providing coverage for gifts administration when needed.

Reconcile the gift (bank) account on monthly basis with database gift entries. Provide additional support with monitoring of bank accounts, reconciliation of the operation account, and other issues and matters as needed.

Compiles monthly disbursement file.

Create and run complex searches and reports as requested by staff to support fundraising and alumni outreach efforts.

Capture, organize, use, and analyze constituent and gift data to achieve departmental and organizational objectives.

Maintain data integrity standards including security, accuracy, duplicate management, conduct regular audits of database and performs data maintenance.

Provides staff training as it relates to database use, policies and procedures, ensures business rules on the use of the database are documented and implemented throughout the organization.

Writes database policies and procedures and maintains a policy manual and documentation on procedures for database and information usage according to best practice.

Proactively recommend and implement database improvements to streamline operations, improve efficiencies, and support the effectiveness of fundraising strategies.

Desired Skills and Experience

 A minimum of four to six (4-6) years of experience in database management, with focus on supporting fundraising efforts.

 A high level of technical expertise and knowledge of advancement software is required, along with the ability to analyze and synthesize information between different organizational areas.

A high degree of professionalism, including the demonstrated ability to manage responsibilities with accountability, flexibility, integrity, and tact.

Results-oriented with a demonstrated ability for excellent project management from inception to completion and follow-up.

Enjoys solving complex data problems and possesses strong analytical and organizational skills.

Must have outstanding verbal and written communication skills.

 An interest in Collegiate Cambridge and the UK.

Bachelors’ degree required.
