Taproot Foundation, a national nonprofit, connects nonprofits and social change organizations with skilled volunteers through pro bono service. The Executive Assistant reports to the Chief External Relations Officer and provides high-level administrative support including conducting prospect research, copy-editing, grant submissions and performing clerical functions such as arranging conference calls and scheduling meetings, office management, and travel arrangements for the Chief External Relations Officer.
In addition, the Executive Assistant provides administrative support for the marketing, development and evaluation departments implementing social media strategy, administrating organizational evaluative surveys, and drafting grant reports. ► Calendaring for external and internal meetings including funder and partner meetings.
► Office management including mail delivery, room reservations, tech set-up for external meetings and printing.
► Data entry for all of the Chief External Relations Officer meetings including Salesforce entry and contact development
► Grant proposal and report development including data collection and online submission
► Prospecting in partnership with the External Relations teams overall annual fundraising strategy.
► Event support including RSVP management and lodging, catering, and tech logistics
► Execute on a social media strategy to advance Taproot’s mission and the pro bono ethic. (Current channels: LinkedIn, Facebook, Twitter, Instagram) in partnership with the Marketing Manager and Marketing Associate, including researching content, content development, and weekly reporting.
► Support marketing team by disseminating content via distribution channels, as directed.
► Support marketing team in development of emails and newsletters, as needed.
► Provide office management including building logistics, tech support and meeting support.
► Recruit, engage, manage and develop fellows and pro bono consultants as needed for supporting functions such as search engine marketing, design, on and offline content development and event support.
► Administer organizational evaluation surveys via SurveyMonkey and compile results for senior staff.
► Excellent writing/editing and verbal communications skills;
► Highly-motivated self-starter; comfortable working on multiple projects simultaneously;
► A strong track record as an implementer who thrives on executing a variety of key initiatives concurrently;
► Proficiency in Microsoft Word and a working knowledge of Microsoft Excel, and Social Media platforms (Facebook, Twitter, LinkedIn, Instagram);
► Technologically fluent including web meetings trouble-shouting, online printing and online grant submission;
► Ability to work collaboratively with a team across multiple departments.
► Familiarity with design programs (InDesign, PhotoShop, Illustrator), email marketing programs (Constant Contact, MailChimp) and Salesforce;
► Previous experience with nonprofit fundraising including data management and prospect research.
This is a full-time exempt position and is located in Taproot’s Chicago office.
