Director, Grants and Contracts

The Director of Grants and Contracts is a key member of the Finance team, overseeing the stewardship of Food Bank’s government, private funding, and member grant allocations.

This role is responsible for the development and implementation of a comprehensive cross-department process that creates transparency on the financial status of all government contracts and restricted funding and facilitates a collaborative process to the successful utilization of all funding in accordance with government contracts and donor restrictions. 

Facilitate kick-off meetings to review grants and contract requirements and ensure all deliverables are identified and understood.

Oversee the monthly production and distribution of materials to cross-org teams on the progress of grant and contracts, adherence to budgets and timely escalate for resolution.

Ensure the timely submission of stewardship reports and government vouchers and review all related journal entries including release of grant restrictions.

Oversee and monitor the grant allocations process for sub-awardees and ensure that they are properly recorded in accounting system.

Review journal entries to record satisfaction of restrictions and

Report on cash collections and receivables for all contracts and grants.

Develop and maintain centralized and shared master file for grants.

Prepare Statement of Federal Awards schedule for annual audit and supporting schedules for a revenue related accounts.

Budget Development and Financial Reporting:

Participate in the development of the annual organizational budget. Support Development and Program teams in the preparation of new grant proposals and budgets.

Participate in determining the allocation of shared costs and ensuring allocations are made timely.

Staff Management

Supervise a 3–4-person team responsible for grants administration, revenue recording, preparation of government contract and private grant reporting.

Systems and Processes

Develop and improve policies and procedures that reflect best practices in the areas of grant budgeting, management, and reporting.  

Leverage Finance team accounting system and tools to build automated reports to strengthen internal compliance as well as support reporting requirements.

Capacity and Team Building:  

Assist Controller in providing training and support in areas of grant reporting and compliance. 

  Leverage a department work plan to hold direct reports accountable to goals and timelines.

  Perform other duties as assigned

QUALIFICATIONS

Minimum of 4-5 years progressive experience in nonprofit industry with extensive knowledge of laws applicate to the compliance and administration of federal, NYS and NYC funding.

Experience with managing multiple program budgets exceeding $3M

Demonstrated ability to improve processes for managing and reporting financial results

Track record of building strong relationships and collaborate across teams

Experience providing information for Single Audit, annual financial audit and Form 990

Experience managing and developing staff

Bachelor’s Degree in Accounting

Experience with NetSuite systems, Excel and other Microsoft Office products;

KNOWLEDGE, SKILLS AND ABILITIES:

Strong written and verbal communication skills

Ability to set priorities, manage projects and juggle multiple priorities to meet deadlines and deliverables; and

A demonstrated ability to think creatively

Demonstrated independent judgment and problem-solving skills.

Track record of building strong relationships with various types of people and the ability to motivate and collaborate with senior staff and peers

Comfort and experience working with individuals from diverse backgrounds
