Position Title: Program Assistant

Reports To: Executive Director

Customary Work Hours:  FTE-40 hours per week

Customary Work Days: Monday through Friday, some Saturdays required

SUMMARY: The Comprehensive Maternity Support (CMS) program delivers enhanced preventative health, perinatal support services, and care coordination to medically underserved women. The overall program goal is to decrease perinatal morbidities and mortality, which increasing health equity in targeted service areas. The program aims to 1) Build resilience, enhance the woman’s power, and reduce stress; 2) Promote the adoption of healthy lifestyles that promote community transformation; 3) Promote healthy relationships, enhance bonding and parenting skills; 4) Connect expectant women and new mothers with an array of medical, social, and behavioral health services; 5) Strengthen communities through supportive environment for childrearing and family wellness; 6) Mobilizing the community towards supporting the CMS program and improving perinatal outcomes for women of color. 


POSITION OVERVIEW: The Program Assistant is responsible for providing administrative support for all programs to include: education, CMS program, training/professional development, food donations, and Mama-Baby boutique.


ESSENTIAL DUTIES AND RESPONSIBILITIES


Program Support

  • Management of the CMS client assignment calendar
  • Field PHW Workforce Training inquiry calls
  • Following-up on emails for training interest
  • Confirm registrations for all classes or professional development
  • Receive and process CMS program discharges
  • Assist with organizing and printing training materials 
  • Assist with arranging logistics for off-site training
  • Management of the food donation request list and organizing food-drop off
  • Management of the Mama-Baby Boutique distribution and inventory lists
  • Contributes to the monthly, quarterly, mid-year and year-end reports submitted to MCOs

Adminsitrative Support

  • Prepare meeting notice memos and maintain current meeting attendance rosters, seating placards, and badges for all events
  • Coordinate with in-house meetings staff to arrange for meeting space, agendas, meals, audiovisual equipment, etc.
  • Coordinate printing, postal, and courier services including incoming and outgoing correspondence
  • Manage office and training supply inventory
  • Coordinate travel arrangements for executive staff
  • Arrange internal meetings and conference calls ensuring there is no scheduling conflict
  • Prepare routine correspondence including transcription and final formatting
  • General receptionist task

Intakes and Care Management

  • Point of contact for all service inquiries 
  • Schedule appointments for Intake staff
  • Track and provide follow-up on current and pending incomplete pre-intakes;
  • Conduct outreach calls for potential clients into CMS and MCO Programs
  • Maintain accurate Care Management and enrollment documentation
  • Email weekly and monthly correspondence to MCO points of contact

QUALIFICATIONS 

  • Recent graduate with a degree in one of the following fields: a) social work, b) counseling/human services, c) public/community health or d) psychology with an emphasis on the family and women/children. 
  • Interest in program development, evaluation, community health, or maternal child health 
  • High level of skill with MS Office software to include Word, Powerpoint, and Excel and iOS
  • Must be able to work with sensitive and protected information in a confidential manner
  • Outstanding verbal and written communication; Skills in writing notes and reports
  • Self-motivated, able to balance multiple and competing priorities or deadlines, excellent organizational skills, attention to detail, and ability to track multiple tasks as delegated to program staff
  • Ability to work collaboratively as a member of a team
  • Strong focus on being strategic, problem-solving, and solution-focused
  • Ability to organize and maintain complete, accurate records and file reports promptly
  • Willingness to engage in continuous learning and training 

REQUIREMENTS FOR EMPLOYMENT

  • Must have results of a current T.B. test and annual T.B. testing. 
  • Must pass a background check. 
  • Must pass DC and MD Child Abuse Clearance
