Administrative Assistant I

This is a full time position with benefits, primarily working out of our Oakland office.

We are seeking a high-energy, mature, well organized, Administrative Assistant for a position that will include assisting executive staff, providing support to statewide campaigns, special projects, and meeting and travel responsibilities for the entire organization. Must be experienced having worked in a fast-paced office environment and capable of handling multiple and diverse assignments. Labor or campaign experience preferred.

Responsibilities will include:

1.     Assist when necessary in the development and preparation of presentation material, campaign material, and campaign propaganda

2.     Coordinate and plan logistics for rallies and other actions/events, including onsite support

3.     Coordinate special projects and prepare database reports

4.     Provide administrative support to staff in satellite offices including onsite support when necessary

5.     Maintain various travel and events calendars

6.     Serve as first point of contact: greet visitors, answer the phone, and respond to e‐mail inquiries.

7.     Handle all incoming and outgoing mail

8.     Assist with vendor research

9.     Assist with data entry projects

10. Satellite office organization & maintenance (including stocking supplies)

11. Other administrative support as assigned

Ideal Applicant will be:

Bilingual (Spanish) preferred. Experienced (1-3 years minimum) in administrative/office work and logistics, preferably in a dynamic member-driven organization. You should be able to display responsible

initiative, to receive and apply feedback, and possess the ability to work with a diverse group of people. We are seeking an incredibly motivated, responsible, independent worker, who is organized, a multi- tasker, problem-solver, detail-oriented, and willing to travel to satellite offices across the state of California when necessary.

Required Qualifications:

Performs responsible clerical work requiring previous experience and the ability to carry out a large variety of clerical duties with little supervision. With appropriate and sufficient training is computer literate in office data entry and word processing programs. Responsible for performing office tasks such as filing, recording, maintaining records, copying, posting, and other similar duties using a computer or tablet. Performs various tasks. Works under general supervision. Excellent interpersonal skills, proficiency in MS Office Suite/Access, Google documents, and Adobe. Weekends and long and/or irregular work hours may be necessary on occasion.
