SPECIFIC RESPONSIBILITIES

Individual Giving Administrative Support (20% of the position)

  • Manage the systems required for donor cultivation, target prospects, track contributions.
  • Process gifts and manage all gift information, track giving activity, ensure all database information is current and correct, and pull giving reports. 
  • Produce timely gift acknowledgements. 
  • Revise gift process procedures when needed. Ensure development staff follow best practices.
  • Solicit and acknowledge monetary and in-kind donations.
  • Manage challenge grants, ensuring paperwork is processed and requirements are fulfilled.


Communications (20% of the position)

  • Execute donor and prospect communications and social media plan as planned for the year by development team. May include e-newsletters, annual report, e-blasts, social media posts, press releases, etc. Write content when directed, edit and proof documents.
  • Serve as production manager, managing the timeline and coordinating mail appeals and electronic campaigns.
  • Assist in the management of the website; provide content. 
  • Post on social media including identifying social media opportunities. Develop improved ways to increase effectiveness of social media and crowd-funding.
  • Work with the development team to integrate consistent messaging and outreach to donor segments via the web, social media and e-newsletters.


Special Events (20% of the position)

  • Participate in the planning for the annual event and other special events.
  • Assist with logistics for all events, assuming lead role when needed.
  • Assist with the solicitation of sponsors and in-kind donations.
  • Coordinate all record-keeping and database management for event invitees and attendees.


Institutional Giving Administrative Support (20% of the position)

  • Assist with the preparation or submission of proposals, budgets, and reports.
  • Conduct foundation and corporate prospect research to identify new funding opportunities or corporate partners, as directed by the Institutional Giving Manager.


Development Research and Reporting (12%)

  • Works in partnership with the Development team create fundraising donor strategies.
  • Assist in the research and the creation of donor and funder profiles for prospective individual donors, and foundations, governmental, and corporate funding sources. 
  • Compile fundraising reports and dashboards.
  • Identify opportunities for analysis and evaluations.
  • Assist with editing and producing proposals, LOIs, and reports.


Board Support and Management (5% of the position)

  • Coordinates Board meetings, schedules, and events and maintains Board contact lists.
  • Prepares and circulates all materials as they relate to the six+ Board meetings per year.


Other (< 3% of the position)

  • Attend and actively participate in required educational programs and board and staff meetings.
  • Protect an organization's value by keeping information confidential.
  • Perform other duties as assigned by the supervisor.


YOUR BACKGROUND INCLUDES

  • A bachelor’s degree is required, with demonstrated interest in the philanthropic sector.
  • Minimum two years of experience in administration in nonprofits necessary, in a social service or art organization preferred. 
  • Previous experience managing a CRM database required.
  • Previous development, communications, or special events experience is helpful. 
  • Overall understanding and knowledge of the Chicago philanthropic community, the arts and culture funding community a plus. 
  • Computer skills including familiarity with word processing, spreadsheets, and social media. Experience with Little Green Light or similar fundraising software is a plus.

Salary

$32,000 - $40,000
