POSITION OVERVIEW: The Development Associate is responsible for all data/information management functions in the Development and External relations Department while helping to inspire donors to feel valued and loyal to the organization. Key responsibilities include gift-entry and processing of payments and pledges; preparing acknowledgement letters and donor lists; prospect research and management; managing and fulfilling donor benefits; and supporting the Development and External Relations team. S/he also serves as the liaison to the Board of Trustees and plays an integral role in planning the organization’s fundraising events. 

REQUIRED QUALIFICATIONS: The Development Associate must have at minimum; a Bachelor’s Degree with 1-3 years of experience. The Development Associate must also demonstrate exceptional written and verbal communication skills, the ability to pay meticulous attention to detail and manage strict deadlines and have the ability to work effectively within a team structure as well as with board members, volunteers, donors and prospects. The Development Associate should have demonstrated experience using Raiser’s Edge (or similar software) and excellent analytical, organizational, and computer skills.

RESPONSIBILITIES: 

  • Maintains and manages the quality and integrity of the donor database (Raiser’s Edge/NXT) so that it is a reliable resource that informs donor cultivation and stewardship strategy
  • Oversees the production and distribution of gift reports and reconciles gift and income records
  • Manages the acknowledgment process for all gifts, ensuring relevant, timely, error-free communications
  • Conducts accurate and thorough donor research that align funding needs and strategy
  • Liaisons with the Board of Trustees, capturing meeting minutes, assisting with scheduling meetings, and serves as primary point of correspondence 
  • Serves as lead organizer for the organization’s community fundraiser, the Dr. Elliott Celebration, working cross-departmentally to ensure representation from all programmatic areas and working to meet fundraising goals
  • Collaborates with senior leadership in the planning and execution of the organization’s Annual Benefit 
  • Plans, organizes, and executes special events and fundraisers as needed for Hudson Guild, Hartley House and other community partners
  • Responsible for the integration and merging of databases
  • Works alongside team members to manage government contracts 
  • Collaborates with team members on special projects and events, such as corporate volunteer days
  • Participates in community-building activities sponsored by program and agency and encourage participants to support these activities
  • Performs other related duties as assigned
