Opportunity America is seeking an executive assistant/office coordinator responsible for the day-to-day operation of a small nonprofit organization.


This person is responsible for supporting the organization’s busy president and making sure that the office runs smoothly and no loose ends are dropped. He or she must take the initiative on a number of fronts, including maintaining the president’s schedule, technical support for the office, overseeing relationships with vendors and extensive scheduling for several national and Washington-based coalitions.


A typical day might include overseeing the technical side of a national conference call, making travel reservations for a multi-destination cross-country trip, processing expense reimbursements, drafting a stream of formal emails and resolving a problem with an office computer.


The candidate must be a self-starter who can take initiative and drive a project to completion. He or she must be able to manage multiple projects, prioritize responsibilities and deliverables, adapt to new challenges and operate unflustered in a fast-paced work environment. Critically important, he or she must be organized, neat and detail-oriented.


We’re looking for an independent, energetic go-getter who can think creatively to solve problems and take situations in hand without being told to do so, someone comfortable in a small-office environment where everyone pitches in to get the job done.


He or she must also have an appealing professional manner, be able to communicate clearly and make themselves understood in writing.


Duties include, but are not limited to:


§ Office administration (organizing and filing, ordering office supplies, answering phones, responding to emails, depositing checks, communicating with vendors).


§ Technical support for the office.


§ Maintaining the president’s schedule and coordinating meetings.


§ Executive support for the president.


§ Coordinating communication between the president and the rest of the team – a half dozen professionals, several of whom do not work in the office.




He or she must have excellent oral and written communication skills and a good eye for graphic design and webpage layout. Experience with Microsoft Office and Adobe Suite (particularly Photoshop) is a plus.
