Rebuilding Together helps people and communities in need by bringing together our national network of local Rebuilding Together affiliates, corporate and individual donors, skilled trades individuals and associations and almost 100,000 volunteers each year.

Position Overview

Reporting to the Senior Vice President of Affiliate Services, the Manager of Affiliate Services will be responsible for the execution of Affiliate Services programs and duties relating to the Affiliate Insurance Program and National Office Dues, internal compliance, management of the Affiliate Resource Center (intranet site), and providing support to special projects for the Senior Vice President of Affiliate Services and Regional Directors. This position will also be responsible for executing the logistics and management of the National Conference, currently scheduled to take place annually with the next conference in November of 2018. The successful candidate is a detail oriented person who thrives in executing important business components of a national nonprofit organization.

Primary Responsibilities

Assist the Affiliate Services Department in the coordination and implementation of Affiliate Services.

  • S port the Affiliate Services department to successfully meet goals and objectives
  • Assist with process transformation, brainstorming and template/tool development for all aspects for Affiliate Services
  • Serve as an ambassador of Rebuilding Together to all stakeholders
  • Provide exceptional customer service to the affiliate network

Hosting Rebuilding Together’s National Conference

  • Support and coordinate planning and execution of annual Rebuilding Together National Conference, taking lead on selected events
  • Coordinate various project and event logistics including, but not limited to:
  • arketing and sponsor benefit packages, run of show, and overall event planning
  • and execution working closely with necessary department staff
  • Manage vendors, oversee proposals, logistics, scheduling, shipping and payment
  • Manage conference budget to ensure revenue exceeds expenses
  • Work with Development Department to secure conference partners and financial
  • sponsorships

National Affiliate Council and Regional Director Support

Act as logistical organizer and invoice processing for the National Affiliate

Council

Manage the implementation process of annual Insurance and Dues

  • Includes oversight of the employee designated to implement the process
  • Update National Insurance Program materials
  • Maintain accurate and up-to-date records of affiliate compliance on dues and insurance
  • Department projection and forecasting for budgeting and pipeline reporting
  • Provide necessary information and expertise support to the affiliate network
  • Reconcile with Accounting Department for year-end totals

Manage affiliate compliance tracking and reporting

  • Ensure that the national office and the affiliate network are in compliance with the Affiliate Agreement
  • Provide reports as needed to Director(s) of Affiliate Services and internal stakeholders
  • Recommend status changes of affiliation (inactive, probation, disaffiliation, termination)
  • Serve as an in-house expert on Affiliate Agreement.
  • Oversee the updating of affiliate contact information and compliance documents in database and hard filing system; ensure timely recording of all updates and excellent customer service
  • Ensure accuracy of database
  • Collect required documents and oversee affiliate correspondence to collect any missing materials

Affiliate reporting

  • The person in this position needs to be comfortable with data interpretation and analysis – specifically being able to look at dues, insurance and other information understanding trends and data accuracy
  • Work in collaboration with the Knowledge Management and Research Manager position on the Annual Affiliate Report
  • Support the Regional Directors in affiliate reports/research/trends

Manage content for internal database and intranet site (Affiliate Resource Center)

  • Ensure data is being accurately tracked in the database and real time updates are being made to intranet site
  • Assist with staff and affiliate training and system integration
  • Monitor system for potential improvements, better integration with Rebuilding Together business needs

Other duties and special projects as assigned


Supervisory Responsibilities

Oversight of staff member responsible for the execution of the dues, insurance and compliance logistics

  • Planning, negotiation and management of contracts, event planning and execution
  • Logistics – “managing lots of moving parts”
  • Skilled with data analysis and reporting
  • Excellent telephone and communications skills
  • Superior writing and editing skills
  • Experience using Windows and Office Software especially Word and Excel
  • Must enjoy detailed work and be willing to pay meticulous attention to record keeping and output without loss of bigger picture strategic direction
  • Accurate keyboard skills
  • Organizational skills for multiple tasks
  • Ability to carry out tasks/assignments with minimum of supervision
  • An ability to recall information
  • Must be flexible and work well under pressure
  • Working knowledge of nonprofit management and housing issues/programs a plus
  • Ability to work with different stakeholders and personalities
  • Positive and professional attitude a must!

Education and/or Experience Requirements

Bachelor’s degree with minimum 3-4 year’s professional experience, or equivalent combination of education and experience.
